Update costs for future Courses

Learn how to update the costs for your future Courses.

Updating the costs for future courses is an important step in ensuring that your pricing reflects any changes in resources and materials. By keeping your course costs current, you not only maintain transparency with your customers but also optimise your course revenue potential.

To provide a seamless experience for your customers, it’s essential to update these costs well in advance of the course dates. With accessplanit’s Bulk Edit tool, you can effortlessly find future courses and make cost adjustments quickly & easily!

Follow this guide to learn the best practices and steps for updating course costs quickly.


Update the cost on your future Courses

Find the future Courses that need a new cost assigning to them and use the Bulk Edit Tool to update their cost.

Finding your Course(s)

This step will show you how to find the Courses you want to update the Cost for

  1. Open the ‘Class’ or ‘Web’ Courses DataGrid from your main navigation menu on the left

  2. This will open the Courses DataGrid

  3. First check to see if you have an existing filter available in your DataGrid which only shows you future Courses
    Filters may be included in your filters bar, or they may be tucked away in the Filters drop-down box to the right of the filters bar, if you already have a filter available you can click on it to apply it to your DataGrid

    If you already have an existing filter, you can move onto step 5

  4. If you do not yet have an existing filter, create a filter with the criteria 'StartDate' - 'Period' - 'Future', you can find the steps to add a DataGrid filter in our dedicated guide"

  5. Once you have your filter applied, you may find you now have multiple pages of Courses and you want to narrow this down further. You can either edit your Filter and add an additional rule such as ‘Course Template Name' - ‘Contains’ - and then the 'Label’ of the Course Template

    or you can use he search bar to specifically Search for the Courses you wish to update

  6. This will now show all Future Courses with the specific label within your DataGrid

  7. Move on to the next step to update their costs

Update the Costs

This step will show you how to update the cost for future Courses using the Bulk Edit option

  1. Now you have a list of all Courses you are going to update the Cost for, use the checkboxes to select all the Courses you are going to Bulk Edit. You can do this by using the ‘Select all’ checkbox or manually selecting each Course

    If there are multiple pages of Courses, use the ‘Click here to select all items in the result set.’ option to include the Courses that are not displayed on the page

  2. Once you have selected the relevant Courses, use the "Bulk Edit" option to change the cost of all the selected Courses

  3. From the drop down, search for ‘Cost’ in the search bar and select the ‘Cost’ option

  4. Then add the new cost

    Do not add a currency symbol as this will be picked up automatically by the Training Provider

  5. Click the ‘Save button

  6. Repeat steps 3 - 6 for each Course/Course Template that you want to update the Cost for

  7. You can check your Course Cost’s have updated correctly by adding in the ‘Cost’ column to your DataGrid

Update the cost on your Course Template

Updating your Course Template cost will mean any newly scheduled Courses will automatically be assigned the new Cost

  1. Open the ‘Course Templates' DataGrid from your main navigation menu on the left

  2. This will open the Courses Templates DataGrid

  3. Find the Course Template you want to updated the price of by applying filters and/or searching the DataGrid

  4. Right-click on your Course Template and select the ‘Edit’ option from the Context Menu Options

  5. Click on the ‘Cost’ section menu to jump down to the Cost section of the page

  6. Update the Cost and Cost Type as necessary

  7. Click the ‘Save’ button to save your changes

Optional - Update Price Scheme costs

If you use Price Schemes on your Courses to offer alternative rates to groups of customers, this step walks you through how to update these prices

 

  1. Open the ‘Course Templates' DataGrid from your main navigation menu on the left

  2. This will open the Courses Templates DataGrid

  3. Find the Course Template you want to updated the price of by applying filters and/or searching the DataGrid

  4. Right-click on your Course Template and select the ‘Price Schemes’ option from the Context Menu Options

  5. This will open the Price Scheme Mapping DataGrid for this Course Template

  6. Right-click on the Price Scheme that you want to update the Price of and select the ‘Edit’ option from the context menu

  7. This will open the 'Price Scheme Mapping Details' page

  8. Update the ‘Cost' to the Price Schemes new cost on this Course, and ensure you leave the 'Apply to All Future Courses’ option checked

  9. Click the ‘Save & Close’ button to commit your changes and update your future Courses.
