Change the date of a Course

 

Learn how to move a Course in your calendar to run on a different date

If one of your scheduled Courses can no longer be completed on it’s assigned start date, use your platform’s Course Calendar to quickly reschedule it for an alternative date!

Change the date of a Course

This step will take you through updating the date of a scheduled Course

 

  1. Open the Courses ‘Calendar’ page from your main navigation menu on the left

  2. Use the date finder and Calendar view selector to find your Course

  3. Once you have located the Course you wish to move, click and hold the Calendar entry, and drag the Course to a different working day

  4. Click the ‘OK’ button once the Course date has been moved

Optional - Notify your Delegates

If you do not have an automatic Workflow email to let your Delegates know that their Course date has changed, follow this step to inform them

 

  1. Open the Courses ‘Calendar’ page from your main navigation menu on the left

  2. Use the date finder and Calendar view selector to find your Course

  3. Right click on the Course and click ‘Delegates’ from the context menu options

  4. This will open a pop up showing the Delegates DataGrid for this Course

  5. Select all ‘Booked’ Delegates using the ‘Select all’ checkbox in the top left of the DataGrid (this will highlight all selected blue)

  6. Using the mass actions drop-down button in the top left of the DataGrid, click ‘Email’

  7. This will open the ‘Email Details’ pop up box

    From here you can selected whether the Email is a premade Template, or AdHoc if you will be writing an email from scratch

  8. Under the ‘Sender & Recipient’ section, you can leave this as ‘Booking User Email Address’ to contact the booking user for each of the Delegates, or change this to ‘Delegate’ email address to contact the Delegate’s directly

  9. If you are not using an existing Email Template, from the ‘Creation Type’ drop-down, select ‘AdHoc’ to access the options to write your email

  10. This will display additional text boxes for you to write the subject and body of your email

  11. Once you have added your ‘Subject’ and ‘Body’ of your email, you can select a signature if required

  12. Once you are happy with the contents of your Email, click the ‘Send’ button

The recipient of your email will now be notified of Course change!


Optional - Notify your Trainer(s)

If you do not have an automatic Workflow email to let your Trainer know that their Course date has changed, follow this step to inform them

 

  1. Open the ‘Class’ or ‘Web’ Courses DataGrid from your main navigation menu on the left

  2. Find the Course that you’d like to email your trainers for, by applying filters and/or searching the Courses DataGrid

  3. Right-click the Course and click ‘Email’ from the context menu options

  4. This will open the ‘Email Details’ pop up window

  5. From here you can selected whether the Email is a premade Template or AdHoc if you will be writing an email from scratch
    If you have a Template then you can select this by clicking the ‘Select’ button, and skip to step 8

  10. Once you are happy with the contents of your Email, click the ‘Send’ button

    You have now issued an Email to any Trainers assigned to your Course.
