Steps to view all future, available, Courses

 


Learn how to view a list of all Courses that do not yet have an assigned venue.

If there is one thing your Class Courses need to run, it is a designated venue! Ensuring each if your upcoming Courses has a venue well in advance of its start date is therefore very important.

This page will show you how to identify all future Classroom Courses that are missing an assigned venue, so that you can proactively address these gaps, and secure the best venue for each of your upcoming Courses.

View all future Classroom Courses that are missing a venue

This step will run through how to access the list of upcoming Class Courses that do not yet have a venue allocated to them.

You will build DataGrid filters that you will be able to reuse the next time you want to view this information!

To view all Classroom Courses that are missing a venue, you will follow these steps:

  1. Access and filter your Class Courses DataGrid

  2. Display the information you require in your DataGrid

Access and filter your Class Courses DataGrid

This step will take you to a list of all future Classroom Courses that do not have a venue

  1. Access the Class Course DataGrid by going to Courses > Class in the main menu on the left-hand side

  2. This will open the Class Course DataGrid which will show all Class Courses within the Platform

     

  3. First check to see if you have an existing filter available in your DataGrid which only shows you Courses that are missing a venue
    Filters may be included in your filters bar, or they may be tucked away in the Filters drop-down box to the right of the filters bar, if you already have a filter available you can click on it to apply it to your DataGrid 

  4. If you do not yet have an existing filter, click on the ‘Filters’ drop-down button to the right of the filters bar

     

  5. Click on the ‘+ Create New’ option

     

  6. Create your new filter using the following settings:
    'Venue ID' - ‘Is Empty’
    'Start Date' - ‘Period’ - ‘Future’

     

  7. Click the ‘Preview’ button to check that your filter works as you expect!

     

  8. To save your Filter for future use, enter a Filter name in the text box next to the green ‘Save’ button

     

  9. Click on the 'Save' button

 

  1. Your DataGrid will now only show you Courses that do not have a venue, and you will have a new Filter in your Filter bar which you can toggle on/off by clicking on it

 



Display the information you require in your DataGrid

This step will show you how to adjust the columns that are displayed in your Class Courses DataGrid so that you can see the information you need to see.

  1. Access the Class Course DataGrid by going to Courses > Class in the main menu on the left-hand side

     

  2. This will open the Class Course DataGrid which will show all Class Courses within the Platform

     

  3. Consider the information that you need to know about your Courses
    This could include start date, venue name, available places, profitability forecast

  4. Remove any columns that you do not need to see in your DataGrid by right-clicking on them and clicking the ‘Remove Column’ option

     

  5. To add additional columns into your DataGrid, click on the ‘Change Columns’ button at the top right of the DataGrid results

     

  6. Use the ‘+' button to add new columns in, search for the column you require and click on the 'Apply’ button

     

  7. You will now see the information you need, within your DataGrid

 


Build a Dashboard Area to show you future Courses that are missing a venue

This process will show you how to build a new Dashboard Area on your Dashboard for you to view a gadget that shows you all future Courses (Class & Web) that do not yet have a venue assigned to them.

This Dashboard Area will then be available to you from your homepage each time you login so that you always have quick access this information!

To build your new Dashboard Area, you will follow these steps:

  1. Add a new Dashboard Area

  2. Add a DataGrid Gadget to show you a list of the future Courses that do not have a venue

Optional - Add a new Dashboard Area

This step will show you how to add a new Dashboard Area to your Dashboard, if you already have a Dashboard area that you can add this new gadget to you can skip this step.

  1. Click on the Dashboard main menu option to be taken to your Dashboard

     

  2. Click on the arrow icon button on the Dashboard Area drop-down box

     

  3. Click on the ‘Add Area’ option to create a new, blank, Dashboard Area

     

  4. Provide a name for your new Dashboard Area

     

  5. Click OK

     

  6. You will now have a new Dashboard Area which does not contain any Gadgets

     

  7. Move onto the next step to start adding Gadgets to your Dashboard Area!

 

Add a DataGrid Gadget to show you a list of the future Courses that do not have a venue allocated

This step will show you how to add a new gadget to your Dashboard Area which shows you a list of Class and Web Courses that do not have an assigned venue.

  1. When you are viewing the Dashboard Area that you would like to add your Gadget to

     

  2. Click on the ‘Add Gadget’ button at the top right of the page

     

  3. Find the ‘DataGrid’ gadget and click the ‘Add Gadget’ button

     

  4. The Gadget will be added to your Dashboard, however it now needs configuring

     

  5. Click on the message within the Gadget to open the settings to set your Gadget up

  6. Complete the following details:

    1. Header: Provide a name for your gadget that will make sense to you later, for example ‘Courses missing a venue’

    2. Auto Refresh: We recommend leaving this option disabled so that the gadget is not affecting the performance of your platform when you are not using it

    3. Auto-height: We recommend leaving this option unchecked so that you can change the height of the gadget yourself

    4. Module: Select the ‘Class Course’ module

    5. Columns: Select the Course information that you would like to include in your DataGrid Gadget, and select which columns you would like to sort your Courses by (for example, if you would like to see all the Courses that are running first, you can sort by the Start Date ascending)

    6. Filters: this is where we will define the criteria for the Delegates we want to show in the Gadget! The filters we recommend for this are:

      1. Start Date – Period – Future (this will mean that the gadget is only counting Courses which are due to start in the Future)

      2. Status - Is in - Available (this will mean that only Courses that are running are included)

      3. Venue IDs - Is Empty (this will mean that only Courses that do not have any venues assigned to them will be included)

         

  7. Click Save to complete your Gadget

     

  8. You can now reposition and adjust the size of your Gadget before moving onto the next one. You can do this by hovering over the edge of the Gadget and using the arrows to drag it to size
