Update the assigned Venue on a Course

 

Learn how to update the Venue that is allocated to a Course

If one of your Venues can no longer host a course, you can easily assign a new one to keep your Course schedule on track.

Avoid needing to cancel your Course by identifying a good-fit replacement Venue!

Update the assigned Venue on a Course

This step will take you through updating the assigned Venue on a Course.

 

  1. Open the ‘Class’ or ‘Web’ Courses DataGrid from your main navigation menu on the left.

  2. Find the Course that you wish to update the Venue on by applying filters and/or searching the Courses DataGrid.

  3. Once you have located the Course you wish to update the Venue for, click the ‘Quick-Edit’ button found to the right of the row.

  4. This will open the Quick-Edit pop-up box.

  5. Update the Venue by clicking the ‘Select’ button

  6. Using the Venue Selector, select the Venue you wish to update it to with the availability type of ‘Available’ from the pop-up box.

  7. Click the 'Ok' button when you have chosen your Venue.

  8. This will add the new selected Venue into the ‘Venue’ section

  9. Click the ‘Save & Close’ button at the bottom right corner to save the changes to your Course

  10. Optional - You can add a note to your Course from the notes section within the management menu to inform others as to why the Venue has been updated

Top Tip

Use the Resource Calendar in ‘timeline mode’ to get a view of what other Courses your Venues are hosting around the date of your Course

 

FAQ

How do I add or edit course venues and their details?

Venues are managed in the Resources area of accessplanit. You can create new venues, edit existing ones, and assign them to courses.

Adding a New Venue

  1. Navigate to Resources > Manage

  2. Click Add New and select the venue type:

    • In-House — for venues your organisation owns or manages

    • External — for third-party or hired venues

  3. Complete the venue details:

    • Name and Description

    • Address (Street, City, County, Postcode, Country)

    • Capacity — maximum number of delegates

    • Cost — hire cost per use (if applicable)

    • Contact details — phone, email, website

    • Notes — any additional information (e.g. parking, access instructions)

  4. Click Save

Editing an Existing Venue

  1. Navigate to Resources > Manage

  2. Find the venue using the search or filters

  3. Right-click the venue and select Edit (or double-click to open)

  4. Update the details as needed and click Save

Assigning a Venue to a Course

Once a venue exists, you can assign it when setting up or editing a Course Date. To change a venue already assigned to a course, follow the main guide at the top of this page.

Tip: Make sure to set the correct Capacity on your venues — this is used by the system to flag when a course is overbooked.
