Sell Products & Services alongside a Course

1. Select ‘Product & Services’ from the Main Navigation Menu

2. Click the ‘Add Product & Service’ button

   Open

   

3. This will open the Product & Service form

   Open

   

4. Begin by selecting the correct Training Provider for your Product & Service from the drop-down menu (this is only required if you operate with multiple Training Providers)

   Open

   

5. Next, add the ‘Label’

   Open

   

6. Select the 'Type' from the drop-down menu

   Open

   

    

7. Optional - add an image to represent your Product & Service

   Open

   

8. The next step is to add the Cost of your Product & Service

   Open

   

   a. Cost Per Unit - This is the Cost per Product or Service
   b. Tax Exempt - check this checkbox if this Product or Service is exempt from Tax otherwise leave it unchecked for Inclusive of Tax
   c. Tax Code - You may want to add a Tax Code for your Product or Service
   d. Cost Centre - This is used to label what part of your organisation this Product or Service belongs to for accounting purposes
   e. Nominal Code - Nominal Codes are for accounting purposes and can be added into this field if required
   
   

9. The next section is to determine stock levels, whether it is mandatory and if a Shipping Address is required or not

   a. Unlimited Stock - Select this checkbox if this Product or Service is unlimited
   b. Stock Level - If the Product or Service is not unlimited, add the number of units that will be available
   c. User is Mandatory for Purchase - Select this checkbox if a User IS required for this Product or Service, for example, an accredited certificate would need an assigned User, whereas a textbook may not
   d. Requires Shipping Address - Select this Checkbox if your Product requires a Shipping Address

10. Optional - add a Description

11. Press the ‘Save’ button

12. When you press Save, you will notice additional options become available within the Product & Service Management Menu

13. The Mappings option allows you to Map an existing Course or Course Template to your Product or Service

    If you already have your Course Template created, please see the section titled ‘Add a Product & Service to an existing Course Template’.
    
    

14. The Purchases option, will show you a list of any Users/Delegates who have purchased the Product or Service

1. To edit a Course Template, select 'Product & Services from the Course Template Management Menu

   Open

   

    

2. This will open the Product & Service DataGrid for the Course Template

   Open

   

3. Click the ‘Add Product & Service Mapping’ button

   Open

   

    

4. This will open the Product & Service Mappings form

   Open

   

    

5. Under the ‘Details’ section, add the Product & Service you created earlier by clicking the ‘Select’ button

   Open

   

    

6. This will open the Product & Service DataGrid popup

   Open

   

7. Using the Search Bar, search for the Product or Service you want to map to an existing Course Template

   Open

8. Select and highlight the Product & Service you created earlier and press the ‘OK’ button

9. This will now populate the Product & service field

   Open

   

10. Check to make sure the correct Course Template has populated the Mapped Object' field. This should show the Course Template you have just created in the previous step

11. Next, you will need to choose whether this Product or Service is Mandatory when purchasing the Course, you can do this by selecting the Checkbox or leaving it blank

12. Chose whether or not you would like to keep the label of the Product or Service as it is or whether you want to add an Alias and override the name of the Product or Service

13. Add the Cost of your Product or Service (this is per unit)

14. Add a description if required

15. Press the Save & Close button

    Open

    

     

16. You will now see your Course or Course Template listed in the Product & Service Mappings DataGrid

1. Select ‘Courses' and then ‘Class’ from the Main Navigation Menu

   Open

   

    

2. Use the available DataGrid Filters and/or the search to find the Course to add your Product & Service

   Open

   

3. Right-click on the Course and select ‘Edit’ from the context menu

   Open

   

4. Select ‘Product & Services’ from the Course Management menu

   Open

   

5. This will open the Product & Service DataGrid for that Course, click to add a new Product & Service Mapping

   Open

   

    

6. Click the ‘Add Product & Service Mapping’ button

   Open

   

    

7. This will open the Product & Service Mapping pop-up box

   Open

   

    

8. Select the Product & Service you created above by pressing the ‘Select’ button and choosing the Product or Service from the DataGrid.

9. Once selected, press the ‘Ok’ button

10. Check that the ‘Mapped Object’ is the Course you want to add the Product or Service to

11. The next step is to select whether the Product or Service is Mandatory or not.
    By selecting the checkbox, means that the Product or Service will be mandatory as part of the Course and will appear as mandatory within Checkout/Shopping Basket, If you choose to leave the tick box unchecked, then the Customer will have the ability to select whether they would like to add the Product or Service during Checkout/Shopping Basket

12. Optional - You can add an Override Alias, Cost Per Unit and Description if required. This means you can Override the Name and Cost per unit for the Product & Service. For example, if it is labelled ‘Consultation - 1 hour’ you may wish to change it to ‘Maternity Consultation - 1 hour’

13. Press the ‘Save & Close’ button to save your changes

When a Product & Service requires User information for Purchases, and the Product & Service is listed as ‘Mandatory’ on a Course, here is how it appears within the Checkout Basket:

• The quantity always matches the quantity of places being booked

• The Booking User does not need to select which Delegates will be assigned the Product & Service

• It is not possible to make a Placeholder booking for the Course, as the Product & Service requires the names of the people that will attend the Course

• Mandatory Exams

When a Product & Service requires User information for Purchases, and the Product & Service is listed as ‘Optional’ on a Course, here is how it appears within the Checkout basket:

• The Booking User selects which Delegates will be assigned the Product & Service

• The quantity will matches the quantity of Delegates that have been selected to buy this Product & Service

Examples of Products & Services that fit this criteria:

• Optional Exams

• Hotel / Travel Services

• Printed Certificates

When a Product & Service doesn’t require User information for Purchases, and the Product & Service is listed as ‘Mandatory’ on a Course, here is how it appears within the Checkout basket:

• The quantity will matches the quantity of Delegates that have been selected to buy this Product & Service

• The Booking User does not need to select which Delegates will be assigned the Product & Service

Examples of Products & Services that fit this criteria:

• Booking Fees

When a Product & Service doesn’t require User information for Purchases, and the Product & Service is listed as ‘Optional’ on a Course, here is how it appears within the Checkout basket:

• The quantity is a drop-down box where the Booking User can choose how many of the Product & Service they would like to buy, they are not limited by the number of Delegates they are booking

• The Booking User does not need to select which Delegates will be assigned the Product & Service

Examples of Products & Services that fit this criteria:

• Book and other learning materials

• Course related equipment (for example, first aid kits)
