There are many different tools available within your accessplanit platform that allow you to report on and evaluate your data!

From filtering your DataGrids to quickly view specific information, to building a custom report from scratch in the Report Writer, you have a variety of options at your fingertips. Each tool has its own unique features, benefits, and considerations. This page will guide you through the available options, helping you choose the best one for your needs.


Reporting Tools

Report Writer

The Report Writer is a very powerful tool which allows you to report directly from your platforms database! You can build up the structure of the Report yourself , or manipulate existing Reports to flexibly report on your data.

Report Writer is a powerful reporting tool that offers direct access to your database, providing a powerful range of flexibility for custom reporting. You can create highly tailored reports by pulling data directly from various tables and fields into one report.

We recommend the Report Writer for admins who are comfortable working with data and have experience in data querying, as it is beneficial to understand how to join multiple data sources together. Each Report Writer report can be set to be available to:

  • All users with a Report Writer licence

  • Only yourself

Additionally, it is possible to schedule your Report Writer reports to send automatically via email to specified recipients.

Report Engine

The Report Engine is a purpose-built reporting tool in your accessplanit platform, designed to produce aesthetic reports that can be exported to PDF to share with your team.

Data Accessibility

The Report Engine has access to every key module; including Accounts, Users, Courses, Delegates, and Opportunities.

You can choose to build your report to be based on a single module, or you can select a module for each 'gadget' in your report.

Report Engine reports are built using the some tools as Dashboards which makes learning them very easy!

Collaboration

★★★★☆

There is a high level of granularity and options for sharing your Report Engine reports with other administrators! You can additionally choose which other Users can edit reports, and which can only view.

Report Engine reports can also be exported to PDF to be shared with team members outside of your platform.

Dashboards

Dashboards are the first area you see when you log in to accessplanit. Meaningful dashboards support day-to-day activities and can be your quickest source of information.

Dashboards have access to every key module; including Accounts, Users, Courses, Delegates, and Opportunities.

Dashboards have a range of gadget types available to display your data, ranging from very straightforward gadgets such as ‘Statistics’ to more detailed options like the ‘Summary’ gadget, which functions similarly to a pivot table. While creating these summaries isn't overly complicated, they do require a bit more time and understanding to set up effectively.

There are two types of Dashboard Areas that can be configured in your platform:

Shared

Shared Dashboards Areas are set up by Super Administrators, they are visible to multiple Adminstrators.

Personal

Personal Dashboard Areas are only available on your own Dashboard, they cannot be viewed by other Admins on their Dashboards.

DataGrids

DataGrids are a fundamental feature on most pages of the platform, DataGrids present your data to you in a structured, grid-like format. As the name suggests, each DataGrid is a grid of data that organises and displays a specific type of information.

DataGrids are available for all accessible modules, while it does not support accessing multiple modules at once, you can view and manipulate data specific to each module individually. You can easily customise your DataGrids by choosing which columns to include, so that you can tailor the view to display the precise information you need. This makes it straightforward to focus on the most relevant data for your reporting needs.

DataGrids are a fundamental feature within your platform, designed to be user-friendly and easy to learn. You can quickly modify the content of a DataGrid to display the necessary information with just a few clicks. Building filters is also a simple process, enabling you to limit the results to specific criteria, making data analysis more efficient and targeted. Additionally, the tool supports mass actions, such as bulk updates, which can be completed directly within the DataGrid.

Exporting data is equally straightforward, allowing you to easily download and work with your data outside the platform. Overall, its simplicity and intuitive design make it accessible to users with varying levels of technical expertise.

Each DataGrid has an ‘Export' function available which allows you to download data directly from your DataGrid and perform further analysis using external tools (such as Excel or Google Sheets). This is particularly useful for admins who prefer to conduct more in-depth analyses outside the platform or share data with team members who might not have access to the platform.

Additionally, you can share DataGrid filters with other admins, enabling them to apply these filters instantly to their own DataGrids.

Legacy Reports

Legacy Reports are the original reporting tools in accessplanit, they offer more basic set of features compared to newer reporting options. Legacy reports are wizard-based, guiding you step-by-step through the process of defining your report content. This straightforward, guided approach makes it easy to generate reports quickly, even if you're new to the platform.

Legacy Reports are designed to focus on a specific area of your data, providing pre-defined reports that you tailor to your needs. However, it does not offer flexibility in changing the data that is output; the reports are generated with a fixed structure and content. This makes it ideal for users looking for quick, straightforward insights!

★★★★☆

Legacy Reports are run using a step-by-step wizard interface, this makes them very user-friendly! Each report guides you through the process of defining the scope, this means that you can create reports quickly and efficiently.

Collaboration

★★☆☆☆

While Legacy Reports do not have any in-app sharing options to share your reports with other admins, there are download options for sharing your report externally.
