About Dashboards

Your Dashboard is your platform homepage!

Meaningful Dashboards support day-to-day activities and can be your quickest source of information. Your Dashboard should be custom to you, providing you with information, directing you to complete actions, and saving you time by helping you to keep on top of everything.

A Dashboard can contain multiple 'Dashboard Areas'.

Dashboard Areas

Use the drop down menu to switch between the Dashboard areas available to you.

👥 Shared

Other administrators can see Shared Dashboard Areas on their Dashboard too.

Shared Dashboards will be set up for you.

You can't change or add new Gadgets to shared Dashboard Areas. You can refresh the content of these gadgets by clicking on the arrow button.

👤Personal

Your Personal Dashboard Areas are only available on your Dashboard.

You can set up your own Personal Dashboard Areas

Your Personal Dashboard Areas will have an 'Add Gadget' button available at the top right.

Click the arrow button to edit an existing gadget in the Personal Dashboard Area.

 

Dashboard Gadgets

Each Dashboard Area contains Gadgets of information.

For example, you could have a Dashboard Area for viewing finance information gadgets such as the number of overdue Invoices and you could have another Dashboard Area for viewing upcoming Course information, such as a gadget that shows you courses that are running next week!

Configurable

Dashboards and Gadgets can be configured to make your dashboard suit your day to day needs, and different areas can be configured for your different teams.

Central Reporting

Real time information is available on the logon page, and these can be shared between your admin team so everyone is working from the same data.

Multiple Areas

An area can be set up for different teams, or departments and can easily be switched between to see a business overview

Data Visulisation

Using Statistic and Summary gadgets allows you to view your data in easy-to-digest chunks and allows you to highlight key areas.

Team Collaboration

Shared Dashboards are a great way to ensure your teams are working seamlessly and are all able to access the same data.

Actionable Insights

Gadgets allow you to highlight the key areas that your Administrators should be focusing on, so if you need to track certain KPIs the dahbaord can highlight when a task needs to be completed.

 


Key Terms and Glossary

Dashboard

A Dashboard is a collection of gadgets used to display important information about your business, a Dashboard can contain multiple Dashboard Areas

Dashboard Area

A Dashboard Area is one set of gadgets, usually grouped together in certain categories like Course Admin, Sales, Finance etc.

Gadget

Gagets are the sections of a dashboard that can be configured to show specific details about a core area of the platform. See a list of available gadgets below.

Module

The module of a dashboard gadget determines the information that will be available to display. It is the area of the platform that the data will be pulled from, you can read more about modules here: Modules for Text, Email & Workflow Templates

Header

Name your gadget using the Header functionality, giving your gadget a name will mean it is easier for your team to identify what the gadget does.

Filter

Filters allow you to limit the result displayed in a Gadget

Aggregate Function

The aggregate function allows you to choose the calculation against a statistic gadget, this can be average, sum, count, minimum or maximum.

Broadcasts

 

Allows you to communicate with other accessplanit Users, this could be your delegates or fellow admins. The gadegt will display a message created by an Administrator.

DataGrid

 

A DataGrid gadget allows you to select a DataGrid from any module in the platform and then select a set of columns and filters, this means you can view the key information you need without having to change the main DataGrid each time

  • Display a list of course upcoming in the next week

  • Show the list of Delegates with a cancelled Status

  • Display as list of outstanding invoices

 

 

HTML

 

This Gadget allows you to display custom HTML-built content

  • Have a branded welcome message set up for your Users

  • Display custom content to a specific team

 

 

Image

 

Allows you to display a set image

  • Company Logo

  • A family picture on your personal daily dashboard

 

 

Login Statstics

 

Display your platforms login statistics, this will show you the amount of people who have logged into accessplanit per day, week and month

  • Understanding user engagement & usage patterns

  • Viewing current load to know if it is a suitable time to run a high-traffic action such as a large import

 

 

Report

 

Display a report that has been built in Report Writer on your dashboard

  • Add a frequently accessed report to your log on screen

We do not recommend adding Reports to your Dashboard as this can affect performance

 

 

RSS Feed

 

This allows you to add an RSS feed to your dashboard, RSS feeds are often News outlets so keep up to date with the latest from your favourite publication

  • Add your favourite news network

 

 

My Skills Profile

 

This gadget allows you to view your progress against a chosen Skills Profile. Learn more about Skills Profiles

  • Keep up to date with the Awards you are set to complete

  • Track your progress against your a learning journey

 

 

Statistics

 

A Statistic Gadget allows you to display a a figure that is calculated from your platforms data, this could be a count, sum, average, maximum or minimum

  • Display the number of Delegates you have booked in the next 30 days

  • Show an average Invoice Amount

  • Show a Sum of your income for the month

 

 

Summary

 

The Summary Gadget can display grouped information as well as calculate sums, counts and averages.

 

  • View your course income per month

  • Show a list of Delegate per status

  • View number of Courses running each month

Please note
We recommend that all Summary gadgets have filters applied, this is to avoid performance issues with your platform.

 

 

Trainer Calendar

 

The Trainer Calendar gadget displays the current logged-in Users courses that they are set to teach. This will only display information if the logged in User is a Trainer

  • Your trainers can view their upcoming courses as soon as they log in

  • Allow you Trainers to add their unavailability from the Dashboard.

 

 

Web

 

A Web gadget will allow you to display a website of your choice .

  • Link to a website you use frequently, almost like an accessplanit shortcut

  • Link your company website so it is on hand if you ever need to support a customer

 

 

Welcome Message

 

The Welcome Message Gadget displays a Welcome message to the User logging on, this message cannot be edited

  • Welcome your users to the platform

  • Preview your last login date to manage security

  • Reset your password directly from the dashboard

 

 

 


Suggested Dashboards

Please be advised that when creating a Dashboard Gadget, you will come across two modules with the same name. As an example shown below:

(Manager Access) - means that only users with the Manager role will have visible access to this Dashboard Gadget.

Anything else - means that only Training Admins have access to this module, not Managers.

There are a couple of useful Dashboards that you might wish to set up for your Users. Below are some instructions on how to configure these Dashboards:

Admin Dashboard

Next Month Income - Add a 'Statistic' gadget > Choose the 'Course Date' module > Aggregate the 'Income' field by 'Sum'

Course Dates Running This Week - Add a 'Statistic' gadget > Choose the 'Course Date' module > Aggregate by 'Count' > Filter by 'Start Date', 'Period', 'This Week'

Course Dates Running Next Week - Add a 'Statistic' gadget > Choose the 'Course Date' module > Aggregate by 'Count' > Filter by 'Start Date', 'Period', 'Next Week'

Course Profitability - Add a 'DataGrid' gadget > Include the Label, Start Date, Course Status, Profitability Forecast and Delegates Booked columns

Delegates Attending This Week - Add a 'Statistic' gadget > Choose the 'Delegate' module > Aggregate by 'Count' > Filter by 'Start Date', 'Period', 'This Week'

Delegates Attending Next Week - Add a 'Statistic' gadget > Choose the 'Delegate' module > Aggregate by 'Count' > Filter by 'Start Date', 'Period', 'Next Week'

 

Manager Dashboard

Completed Delegates In The Last 3 Months - Add a 'Statistic' gadget > Choose the 'Delegate (Manager Access)' module > Aggregate by 'Count' > Filter by 'Status Is In Completed'

Booked Delegates In The Last 3 Months - Add a 'Statistic' gadget > Choose the 'Delegate (Manager Access)' module > Aggregate by 'Count' > Filter by 'Status Is In Booked'

Cancelled Delegates In The Last 3 Months - Add a 'Statistic' gadget > Choose the 'Delegate (Manager Access)' module > Aggregate by 'Count' > Filter by 'Status Is In Cancelled'

No Attends In The Last 3 Months - Add a 'Statistic' gadget > Choose the 'Delegate (Manager Access)' module > Aggregate by 'Count' > Filter by 'Status Is In No Attend'

Bookings Requiring Authorisation - Add a 'DataGrid' gadget > Choose the 'Delegate Authorisations (Manager Access)' module > Include the First Name, Last Name, Course, Start Date and End Date columns

Expiring User Awards - Add a 'DataGrid' gadget > Choose the 'User Award (Manager Access)' module > Include the User ID, Award, Status, Date Completed, Expiry Date columns > Filter by 'Expiry Date Period Next 3 Months'

Available Vouchers - Add a 'DataGrid' gadget > Choose the 'Vouchers (Manager Access)' module > Include the Label, Value, Purchase Price, Amount Used, Amount Remaining, Status, Date Created columns > Filter by 'Status Is In Unused, Part Used'


Where to find Dashboards

 

A Dashboard will be displayed when you first log into accessplanit, and you can choose to change this from the dropdown at the top left:

 

To access and edit shared Dashboards, navigate to the Administration Menu and then Dashboards

This will open the full list of Dashboards and from here you can edit:

FAQ’s

No, cloning dashboards is not currently possible, but you can share your dashboard with multiple people using their Account, Permissions or a set Job Role

 

Yes, you can create Dashboards for individuals or groups using the Dashboard menu in Administration.

 

The dashboard will refresh each time the Dashboard page loads so this is live data. If you would like this to update more often you can set this in the settings of the gadgets

 

Yes, shared Dashboards are managed in the Administration menu in the ‘Mapped To’ section
