About Imports
Imports allow you to upload and manage large volumes of data within accessplanit quickly and efficiently using a structured file. By mapping your data to the correct fields through an Import Profile, you can create new records or update existing ones in bulk, without the need for manual data entry.
This makes imports a powerful tool for saving time, reducing human error, and keeping your system accurate and up to date, especially when working with large or regularly changing datasets.

Key Terms and Glossary
Import | The process of uploading data into the system using a structured file (usually CSV) to create or update records in bulk. |
Import Profile | A saved configuration that defines how columns in your import file map to fields in the Platform, allowing consistent and repeatable imports. |
Import Job | A single instance of an import being run. An import job tracks the progress and outcome of the import, including how many records were processed, successfully imported, or failed, along with any associated error reporting. |
Key Field | A field used during an import to uniquely identify a record in the system (such as an ID or email address). Key fields are essential for determining whether a record should be updated or if a new one should be created. |
CSV File | A CSV file (short for Comma-Separated Values) is a simple file format used to store data in a table-like structure, making it ideal for importing information into systems. |
Simplified Imports | An import type that uses only essential fields to quickly create or update records with minimal data preparation. |
Comprehensive Imports | An import type that includes a full set of fields, allowing detailed creation and configuration of records within the platform. |

Please note
If you are completing a new import, we always recommend importing a sample file first with only a few rows of data, so that you can verify there are no errors with the Import Profile.
The columns on your Import profile must match exactly to the columns within your CSV file for your Import Job. If they don't match correctly, your import will not work.
What can you Import?
Below is a list of import destinations within accessplanit. Weβve ordered these based on our recommended import sequence, particularly if you are implementing accessplanit for the first time, carrying out a major data cleanse and reupload, or completing a reimplementation.

Company Group | Used to create and maintain your Account Group structure, allowing you to organise Accounts into logical groupings (e.g. parent companies or departments) for reporting, management, and permissions. |
Company | Used to create and update Accounts within the platform, storing key organisational details such as company information, contact details, and relationships to account groups. |
User | Used to create and manage individual Users within the system, including their personal details, login information, and their association to Accounts. |
Trainer Resource | Used to create and update Trainer records, defining individuals who can be assigned to deliver Courses and linking them to the wider resource pool. |
Venue | Used to create and manage physical or virtual training locations where Courses take place, including address details and capacity information. |
Venue Resource | Used to define specific resources available at a venue (e.g. rooms or equipment), allowing for more detailed scheduling and allocation. |
Resource | Used to create and manage all resource types (e.g. trainers, venues, equipment), enabling them to be scheduled and assigned to Courses. |
Resource Unavailability | Used to record periods when a resource is unavailable, ensuring they are not scheduled for Courses during those times and improving scheduling accuracy. |
Course Template | The first step in Course setup is used to create the core structure of a Course, including its name, duration, pricing, and key configuration settings. |
Course Company | The second step in course setup is used to assign course templates to a specific training provider or company within the platform. |
Resource Course | Used to link resources to specific Course templates, defining which resources are eligible to be assigned to particular courses |
Session Plan Item | Used for sessional courses to define the structure and sequence of sessions within a Course, including timings and session relationships. |
Course Date | Used to schedule individual Courses, including dates, times, locations, and assigned resources. |
Candidate | Used to enrol Delegates onto scheduled Courses (classroom or webinar), or update their booking details and attendance information. |
eLearning and Document Delegates | Used to enrol Delegates onto eLearning or document-based Courses, managing participation outside of scheduled classroom sessions. |
Award | Used to create and manage Awards or certifications that can be ΰ¦ ΰ¦°ΰ§ΰ¦ed through course completion. |
User Award | Used to assign Awards or certifications to Delegates, recording their achievements and qualification history. |
Opportunities | Used to create and manage sales Opportunities, helping track potential business, pipeline activity, and expected revenue. |
Notes | Used to add or update Notes against records (e.g. users, accounts, courses), capturing additional context or internal communication. |
Transaction | Used to import financial Transaction data linked to invoices, supporting accurate financial tracking and reporting. |
User Manager | Used to define management relationships, specifying which users can manage other users, accounts, or account groups. |
Permission record for a user | Used to assign roles and permissions to users, controlling their level of access and what actions they can perform within the platform. |
Import Profiles
The Import Profiles area is where you create and manage templates that define how your data should be structured during the import process.
An Import Profile is essential when uploading data into accessplanit, as it controls how information from your source file (typically an Excel or CSV spreadsheet) is mapped to the corresponding fields within the platform. By setting up a profile in advance, you ensure that each column of your spreadsheet is correctly aligned to the right system field, helping to maintain consistency, accuracy, and efficiency when importing data.

Import Jobs
The Import Jobs area is where you manage and schedule your data imports into the platform. This is where you can upload your prepared files and run your imports using the appropriate Import Profile, ensuring your data is processed correctly and efficiently.
Each import job provides a record of the import activity, allowing you to track progress, review results, and confirm whether records have been successfully created or updated within the system. This helps you maintain visibility and control over all data being brought into accessplanit.

Important Info regarding special characters Δ, Ε , Ε½ and Δ:
If your organisation/business operates using Languages where the following special characters are present - Δ, Ε , Ε½ and Δ - and you wish to use the importer to upload content containing these characters to the platform - you will need to contact the accessplanit Support Team. Please raise a ticket via the Support Portal, available from the βHelpβ option in your platform.
