About Course Templates

Your Course Templates are your course catalogue.

Each of your Course Templates contains information about how this course should be run; including its format, duration, and cost.

This information is then used as the 'blueprint' when a Course is scheduled so you do not need to type these details in again every time you add the Course to your calendar!


Benefits

Here are the benefits of using Course Templates:

Time Saving

Creating Course Templates allows you to set default information that pulls through automatically when scheduling a Course, this saves you time and makes the process of scheduling your Courses so much quicker as most of the information is already there!

If you make changes to a Course Template, e.g. a cost update, these changes will be in place for all new Courses you schedule using this Course Template, your existing Courses will be unaffected.

Consistent

Course Templates supports you with ensuring uniformity in your Course, lowering the chance of human error when you schedule your Courses and helping to maintain a consistent customer experience across your Courses.

Ease of Use

Selecting a Course Template can simplify the process of updating and modifying courses, making it easier to keep content current and relevant.

Configurable and Customisable

To support your ways of working, Custom Fields can be created to ensure you are storing all useful and relevant information needed about your Courses, and Configure Forms can be used by Super Admins to define what information is mandatory for your Course Templates.

 


Key Terms and Glossary

Course Templates

A Course Template behaves as a blueprint for scheduling Courses, the settings you save against a Course Template will be used when you schedule a Course and select this Template, for example the ‘duration' and 'cost’ assigned to a Course Template will automatically be populated when this Course Template is used for a new Course.

Course Template Type

Type is the format for how your course is run. There are up to 4 types of Course Template available.

🧑‍🏫 Class

Class Courses are trainer-led Courses run in-person at a set date/time.

🧑‍💻 Webinar

Web Courses are trainer-led Courses run online on a set date/time.

💻 eLearning

eLearning Courses are self-led Courses run online using SCORM compliant packages.

📄 Knowledge Document

Document Courses are self-led Courses run online where the Delegate will access and read resources.

Courses

A Course is a scheduled training event. Each of your Courses will have information such as; which Delegates are booked, the date and time frame of the Course, the cost of this Course, the spaces remaining, and the status of the Course (such as in progress, available, cancelled).

Class

Class Courses are trainer-led Courses run at a set date/time, in person at a selected Venue

Web

Web Courses are trainer-led Courses run at a set date/time, virtually using an online meeting or webinar software

eLearning

eLearning Courses are self-led Courses run online using SCORM compliant packages.

Knowledge Document

Document Courses are self-led Courses run online where the Delegate will access and read resources.

Sessional

Sessional Courses are multi-part Courses.

Delivery Method

The Delivery Method is where you can categorise your Course as ‘In-house’ Course which typically means it is being scheduled exclusively for a specific customer, or whether it is ‘Public’ where anyone is able to book this Course. To change the options available in your Delivery Method drop-down box, please get in touch with a member of the accessplanit team.

Awards

Course Awards are Awards that can be given out after the completion of a Course. The Award associated with your Course Template here will be automatically assigned to each Delegate that is marked as 'Completed' on the Course and can therefore be useful for reporting and defining pre-requisites for other Courses.

 


Course Template Types Explained

Class

Class Courses are classes that are run in person.

They can be onsite at one of your own venues, a rented venue, or a chosen venue for your customer. These courses typically require a trainer and a specific date and time, and they may also require other resources, such as catering and equipment.

When building a Course Template for a Class Course, there are several optional fields you can fill in, including the Delivery Method, Duration, and even the Colour that the course will appear in within the Course Calendar view.

The more information you input into the Course Template, the easier and quicker it will be when scheduling Courses. 

Web

A Web Course is a Course which is run by a Trainer via an internet-based Webinar with the Delegates. Webinar software should be used to create access details for the Delegates and Trainers. Web Courses work in a similar way to Class Courses in that they have a specific start and end time; therefore when you are creating a Webinar Course, you should provide a duration and duration type. 

Web courses often get confused with eLearning courses, as both are carried out via a computer or computing device. The difference is that eLearning courses are simply one person carrying out a course by themselves at a time of their choice, whereas a Web Course is a classroom-style session that is broadcast over the internet. A Web Course requires a live Trainer, a number of participants, and has the potential to be interactive.

Webinar courses are controlled by third-party software. accessplanit does not provide any Web/Webinar software or Webinar access details, only a field to enter the information into.

eLearning

An eLearning course is a type of course the Delegate will complete online through their Learner Portal. As such, there is no need for a Trainer, Venue, or specific start and end times for the course.

In an eLearning Course Template, you are able to enter a number of details about the course, including:

  • A minimum pass score.

  • The ability for the Delegate to quick-start the course (i.e. have access to it as soon as they are booked).

  • The Course to be marked as complete as soon as the Delegate has finished if they meet the minimum pass mark.

Whilst eLearning Courses are generally made available for people to take part in at an un-scheduled time, you can select the date range for when this Course would be available for Delegates to access the eLearning package via the Course Template

eLearning Course Templates allow you to add a pre-built learning package from the Administration - eLearning area of the platform. Alternatively, if the course is online then you can enter the URL into the relevant field within the Course Template.

Knowledge Document

Knowledge Document Courses are very similar to eLearning Courses in that the Delegate needs to access their Learner Portal to view the course online. However, instead of accessing an eLearning course, they access a document to read. This document could be a PDF, a PowerPoint, or a Word document.

As with eLearning, you can allow the Delegate to view the course information straight away by ticking the quick access box.  

 


Where to find Course Templates

 

  1. Open the ‘Course Templates’ DataGrid from your main navigation menu on the left

  2. This will open the Course Template DataGrid

  3. From this DataGrid, you can search and add filters to narrow down exactly which Course Template you are looking for, then view and edit any details needed

FAQ’s

Yes, you can select the Colour for the Course Template within the Course Template Details section

You may need to ‘unhide’ this option from the Configuration Form.

Please Note
If you select custom colours for your Course Templates, the text will always show as black in the Calendar, so you shouldn't use dark colours as your custom colour.

 

 

If you allow your customers to pay a deposit when they initially book a Course and process the remaining payment later, we can enable our 'Partial Payment' functionality. Please speak to your Customer Success Manager or a Member of our Support Team if you are interested in this.

When enabled, you can define the minimum initial payment that should be made when the course is booked at the Course Template level. These options are displayed below the Cost fields within the Course Template Details section:

Any User booking onto the Course will have the option to make a partial payment.

The partial payment can then be taken on the final stage of the Shopping Basket/Checkout. The booking User will be able to either 'Pay in full' or 'Pay another amount'. If they select to Pay another amount, they will be able to enter the amount they would like to pay initially and then continue their booking. A part-completed invoice will be generated after they complete their Booking.

 

Yes, for your Course to advertise on your website, both ‘Advertise’ checkboxes need to be selected within the Course Template and Course.

The Course Template ‘Advertise’ Checkbox can be found at the Bottom of the ‘Course Template Details’ Section under ‘Promotion

Yes, Course Templates can be deleted however, this can only be done if the Course hasn't been used/scheduled anywhere. If it has been Scheduled, then e recommend archiving the Course Template

Delete:

  1. From the Course Template DataGrid, select the Course Template you wish to Delete

  2. Using the mass drop-down arrow, select ‘Delete’ from the context menu

  3. Confirm you want to delete the Course Template by selecting ‘Yes’
