Learn how to define the standard tasks that need to be completed each time you run a Course

For every Course, there are standard tasks that are always on the checklist – whether it's setting up the venue, confirming delegate lists and requirements, or prepping materials. The Tasks list in your accessplanit platform is your dedicated space to record these recurring essential activities, it allows you and your team to view the outstanding tasks per Course, maintain their progress, and share accountability for your Course organisation.

For each of your recurring tasks, assigning them to a Course Template will mean that they are automatically generated as Tasks when you schedule a Course using this Course Template.

Top Tip!

We recommend that you create Tasks in your platform only for activities that you need to report on or be reminded about.

Adding in too many tasks and covering activities that do not need reminders can cause your team to have an unfocused and unmanageable task list.


Define default Tasks for a Course offering

This step will run through how to add a Task to an existing Course

 

  1. Open the ‘Course Templates’ DataGrid from your main navigation menu on the left

  2. Find the Course Template that you would like to add a Note to by applying filters and/or searching the Course Template DataGrid

  3. Once you have found your Course Template, right-click on it to view the context menu options for this Course Template, select the ‘Tasks’ option

  4. This will open the Tasks DataGrid

  5. Click the ‘Add Task’ button

  6. This will open the Task form to create a new Task

  7. Begin by adding a Subject to your Task

  8. The next step is to check that the Task is being Mapped to the correct Course Template
    If the incorrect Course Template is showing, use the ‘Select’ button to open the Course Template pop up box and select the correct Course Template from the list

  9. The next section is to Assign the Task to a Training Provider and User. Click the ‘Select’ buttons next to each field to open the corresponding pop up boxes

    The Training Provider is mandatory and will automatically be populated however, adding a User is optional, this is if the Task if for a specific User to action

  10. Moving on to the Task Start Date section, here you can select how many days before or after the off set point is

    For example, you may want the task to Start 1 day before the Course Start Date

     

  11. The Task Due Date is based on when the Task is due to be completed, here you can select how many days before or after the offset point is

    For example, you may wish the task to be due 1 day before the Course Date End date

     

  12. Optional - You can add Details to your Task, here you can add notes, a list of jobs that may be required as part of the Task or supporting links for the task assignee

  13. The last section is the Reminder section. Here you can use the checkbox to be sent a reminder via email and when you would like the reminder to be sent

  14. Once your form is completed, click the ‘Save & Close’ button

  15. The Task has now been added to the Tasks DataGrid for this Course Template

  16. Repeat these steps for each Task that needs to be completed when a Course is scheduled using this Course Template

Did you know that you can clone your Tasks from one Course Template to many others?

If you have a lot of Courses that need to have the same task completed, you can quickly clone the Task from the Tasks DataGrid on the Course Template.
