Learn how to create and manage filters in your platform DataGrids

Filters are possibly the most powerful and useful feature in your platform DataGrids!

Filters support you completing a wide range of tasks; from finding a specific customer to email them, or finding all of your Delegates currently on a waiting list, through to complex data refining and analysing!

Whether you're sorting through your data, focusing on specific criteria, reporting on numbers, or looking for trends, DataGrid Filters empower you to navigate your DataGrids based on your specific criteria!

Create a new DataGrid Filter

This step will walk you through how to apply filters to your platform DataGrids to limit the results to just those you need to be able to view and action.

 

  1. Open the DataGrid that you would like to add a new filter to

  2. Select the ‘Filters’ button and then click on the ‘+ Create New’ option from the top right of your DataGrid

  3. Consider how want to filter your DataGrid to limit the results that are shown to you, and what settings may be required for this

  4. Use the filter options to define the conditions of your new Filter, please see lower down in this page for some common DataGrid Filter conditons and how to set these up

     

  5. If you would like all of the conditions (each row of your filter) to be met for a result to appear in your DataGrid, leave the ‘All’ option set in the toggle 'Where the results meet all/any of the conditions

    If you would like any of the conditions (any row of your filter) to be met for a result to appear in your DataGrid, click the ‘All’ to change it to ‘Any’ in the toggle 'Where the results meet all/any of the conditions.

    For example if you have multiple settings such as Venue and Trainer:

    • When applying to a filter with an ‘Any’ option set, Courses will show if they do not have a Venue OR they do not have a Trainer.

    • When applying to a filter with an ‘All’ option set, Courses will show if they do not have a Venue AND they do not have a Trainer.

       

  6. Click the ‘Preview’ button to check that your filter works as you expect! 

     

  7. If you would like to save your filter for future use, provide your filter with a name and click on the 'Save' button

     

  8. If you have saved your DataGrid Filter, it will have been added to your filters bar which you can toggle on/off by clicking on it.

  1. Your filter will now be available for you to use, each time you open this DataGrid

 


Share a DataGrid Filter with other Administrators

This step will walk you though how to share any useful filters that you have created with your team, so that they can benefit from them within their DataGrid views too!

 

  1. Open the DataGrid that has a Filter that you’d like to share with another Administrator

  2. Select the ‘Filters' button and then click on the ‘Share Filters’ option from the top right of your DataGrid

     

  3. This will open the ‘Share Filters’ pop up box

     

  4. Select which filter(s) you wish to share, by checking the checkboxes next to each filter to select them from the ‘Select the filters you would like to copy’

     

  5. Select which administrators you wish to share the filters with by clicking the ‘Select’ button

     

  6. This will open a pop up box with a list of Administrators that can be selected

     

  7. Click the ‘Copy’ button to share your selected Filters with your selected Admins





Rename an existing Filter

 

  1. Open the DataGrid that has a Filter that you’d like to rename

  2. Find the Filter you wish to rename from your DataGrid



  3. If the filter isn’t already in your Filters Bar, select the ‘Filters’ button and click on the filter listed under the ‘Search for filters' bar

     

  4. Once your Filter is included in the filters bar, double-click on the filter, this will open the filter to expose the filter’s settings and you will see the filter goes yellow



  5. At the bottom of the settings, you can edit the name of the filter

     

  6. Once you have renamed your Filter, click ‘Save’ to apply your changes

     

  7. Your changes will be saved straight away, and will stay in place the next time you open this DataGrid




Edit an existing Filter

 

  1. Open the DataGrid that has a Filter that you’d like to rename

  2. Find the Filter you wish to rename from your DataGrid

     

  3. If the Filter isn’t already in your Filters Bar, select the ‘Filters’ button and click on the filter listed under the ‘Search for filters' bar

     

  4. Once your Filter is included in the filters bar, double-click on the filter, this will open the filter to expose the filter’s settings and you will see the filter goes yellow

     

  5. Here you can change the settings;

    1. Add additional Filter conditions (additional rows)

    2. Remove Filter conditions

    3. Update Filter conditions (i.e. update a date range, change the selected status)

    4. Update the All/Any setting

       

  6. Once you have made your amendments, click ‘Save’ to apply your changes

     

  7. Your changes will be saved straight away, and will stay in place the next time you open this DataGrid

     


Remove a Filter from your Filters Bar

 

  1. Open the DataGrid that has a Filter that you’d like to hide

  2. Find the Filter you wish to remove from your DataGrid

     

  3. Click the little 'x' next to the Filter label to remove it from your Filters bar, and move it into your More Filters list (available from the Filters drop-down)

     

  4. If you need to add a Filter back into your Filters bar, you will find the filter listed under the ‘Filters’ button in the top right of your DataGrid, the filter will be listed under the ‘Search for filters' bar, if you click on the label of the filter this will add it back to your filters bar

     

  5. Your change will be saved straight away, and will stay in place the next time you open this DataGrid
