About DataGrids

DataGrids are a fundamental feature on most pages of the platform, DataGrids present your data to you in a structured, grid-like format. As the name suggests, each DataGrid is a grid of data that organises and displays a specific type of information.

Each DataGrid shows a specific set of data for a different aspect of your platform, here are some example DataGrids:

  • Users DataGrid: Allows you to view and manage information about Users, including their personal information, their roles, number of Courses, and latest booking.

  • Courses DataGrid: Allows you to view and manage information related to Courses, such as Course names, start & end dates, assigned Trainers, and Delegate numbers.

  • Discounts DataGrid: Allows you to view and manage information about your discounts, including discount codes, expiration dates, and whether the discount will apply automatically.

You can add, remove, and re-order columns and sort your data in the order that you want in order to display the information most useful for you. DataGrids have been applied to almost every section of the platform, meaning there is a huge opportunity to leverage the information you need.

Data stored all in one place

DataGrids are great for having all data relating to one area in one place.

Filterable

Each DataGrid can be filtered to help narrow down specific information making it easier to view and manage

Editable in Bulk

If you have information that requires updating for a lot of Courses, Users or Resources etc, you can use the Bulk Edit function to update the information all at the same time which saves you time and resources.

Export Data

You can Export your DataGrid Data to use in Excel, this is great for further analysis of your data, or to provide a basis of an import file when if need to update information,

 


Key Terms and Glossary

Columns

Each Column of your DataGrid represents a bit of information, e.g. ‘First Names’ and ‘Email Address’ are columns available in the Users DataGrid, you can change the columns in your DataGrid to view different information.

Rows / Items

Each Row in your DataGrids represent an item, e.g. each row in the Users DataGrid represents a User, and each row in the Delegates DataGrid represents a Delegate

Bulk Edit

The Bulk Edit option allows you to Edit multiple items of data to the same values quickly and efficiently, e.g. bulk editing multiple Courses to ‘Advertised’

Export

Exporting data from your DataGrids allows you to export the information into a .xls or .csv format which you can then open and analyse in Excel

Filters

Filters allow you to limit the results of your DataGrid down into a smaller, easier to understand and manage group of data

Search bar

Searching is a quick way to find a specific item in a DataGrid; such as a Course, Account, User to view or update

Context Menu

The Context Menu is a menu that allows you to edit, manage and access information relating to the line of data you have selected, you access the Context Menu Option by right-clicking on an item in a DataGrid

 


The structure of DataGrids

DataGrids are made up of the following components:

Columns

Columns of data with clickable headings that allow the sorting of data in ascending/descending order. These columns can be rearranged in any order, removed and fixed so that the headings stay at the top of the grid as you scroll down

Rows

Each Row in your DataGrids represent an item, e.g. each row in the Accounts DataGrid represents an Account.

Function buttons

The following buttons are at the top left-hand side: Add, Filters, Bulk Edit, and Export. This allows you to add Data to the DataGrid/ Platform, Filter the DataGrid, Bulk edit or Export information within the DataGrid

Search bar

The Search bar at the top right-hand side of the DataGrid has two icons: Magnifying Glass, and Down Arrow. The down arrow allows you to search based on specific columns and the magnifying glass will enable you to search for the records

Adding a new column

The ‘Add Column’ button icon is at the top right of the DataGrid, below the search field. You use this option to select which columns of data you would like to be included in your DataGrid and which order you would like them in.

Context Menu

To access more options for the data in your DataGrid, right-click on a row in the grid to access the context menu.

You will be shown a menu of options that allow you to view and edit information about that specific item, for example, in the Accounts DataGrid, you would right-click on an Account row to access the context menu options to edit that Account’s information.

If you don't have the ability to right-click, for example, if you're using a touch screen, you can click on the 'v' down-arrow icon on the far right of the row instead.

Total Number of Records

Underneath your DataGrid you can see a number that displays the total records in the grid, and the option to change how many records display per page of the grid.

We recommend using no more than 100 items per page, as to maximise the speed of the platform. Showing more than 100 or ‘all’ can cause the Platform to run slow and may affect other Users

 

Page Numbers

On the bottom right is the current page number and the option to jump to another page.


What are Dynamic Labels?

Dynamic Labels are the labels in your DataGrid that you can use to jump to another area of the Platform quickly. These can be identified easily by their blue underlined text.

In this example, you can jump to the Invoice for a Delegate by clicking on the Invoice Reference from the DataGrid:

DataGrids are everywhere! By selecting most areas of the Platform, a DataGrid will show. Here are a few examples of where you will find DataGrid:

FAQ’s

Each DataGrid is linked to a specific table of information; some are course-based, some are User-based, some are Trainer/Resource-based, and each DataGrid has its own information that you can choose to include or hide as columns.

If there are any columns that you would like to see within a DataGrid that are not currently available, please log a product suggestion for this.
