Files Overview

Files are used for storing documents for use throughout your platform. You can store documents such as course documentation, maps, images, and terms and conditions, which can then be used for reference and/or included in emails that you send. Files stored against your Courses can also be made available to your Delegates within their Learner Portal and Trainers within their Trainer Access - Trainer Portal page.

Where to find Files

All Files stored in your platform are available via the ‘Files’ DataGrid from the main navigation menu.

You can also access the Files that are mapped to specific items, by viewing the ‘Files’ page for that item! For example, to view the Files that are mapped to a Course Template, open the ‘Files’ page when viewing that Course Template.

Adding a File

Before you add a file to the File Store, you'll need to fill out a few fields first. Here's an overview of what they all mean:

Label
This is the name of your file. We recommend naming your file something easily identifiable to save from confusion later.

Description
Here, you can enter in further details about what your file includes and what it’s purpose is.

File
This is the file associated with the File Store item. You can change or upload the file by clicking browse.

Mapped to
The Mapped to field tells you which item in your platform this File is for! This makes it much easier to find Files later.


Acceptable File formats

To help keep your data and your platform secure, we have whitelisted the acceptable file formats/file extensions that are acceptable to be uploaded as files.

This change reflects industry best practice and ensures greater protection against potentially harmful files. Only the file types listed below are permitted for upload:

Documents & Text Files:
.pdf, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .txt, .odt, .ods, .odp, .csv, .xml, .json, .msg, .eml, .ics, .xlsm, .pub, .ppsx, .pages

Image Files:
.jpg, .jpeg, .png, .gif, .bmp, .webp, .tif, .jfif, .svg (.svg is subject to review, it may be removed in future)

Audio Files:
.mp3, .wav, .ogg, .m4a

Video Files:
.mp4, .mov, .avi, .webm, .mkv

Compressed Archives:
.zip, .rar (.rar is subject to review, it may be removed in future), .7z, .tar, .gz

Web & Code Files:
.html, .htm, .css, .js, .json (all 5 of these types are subject to review, they may be removed in future)

File Types Under Review

The following file types are currently supported, but may be removed in a future update:

  • .svg

  • .rar

  • .html, .htm

  • .css, .js, .json

We recommend avoiding these formats unless absolutely necessary.

If you try to upload a file type that isn’t supported, you’ll receive an error message. If you're unsure about a specific file type, or believe you need an unsupported format enabled, please reach out to a member of the accessplanit team!
