How to add a file to the File Store

Please make sure that file names in the file store do not contain any non standard alphanumeric characters such as č.

Doing so will cause the file to break and not be downloadable.

  1. Navigate to the File Store DataGrid.


  2. Select Add in the top left of the DataGrid. 





  3. In the Add File Store popup, enter a Label for your file. You can add a Description here too, if you wish.





  4. Click Browse to locate the file on your computer and add it to the File Store. Map the file to an existing record in the platform using the drop-down and Select option.


     

  5. Click Save & Close  to save your file.

How to delete a File Store file

  1. Navigate to the File Store DataGrid.


  2. Right click the file you wish to delete, and select Delete from the context menu.


How to edit an existing File Store file

  1. Navigate to the File Store DataGrid.


  2. Right click the file you wish to edit, and select Edit from the context menu.


How to change the Mapped to IDs on multiple File Store Items

  1. Navigate to the File Store DataGrid.


  2. Highlight the Rows you want to change the Mapped To ID for...



3. Select Bulk Edit from the Tabs at the top of the DataGrid. 



4. Select 'Mapped To ID' from the drop down list - find the object you wish to map your records to.



5. Click Save, which will update the selected items. 

How to upload a file against a record

  1. Navigate to one of the following relevant areas of accessplanit:





  2. Within the relevant DataGrid, right click the record you wish to add a file to and select the Add  button next to the File Store option within the context menu.





  3. This will open the Add File Store pop up with Mapped To field pre-populated. Fill out the details, and then click Save & Close to save your file.


How to view a specific record's File Store files

  1. Navigate to the relevant DataGrid.


  2. Right click the record that you wish to view files for, and select File Store from the context menu.


FAQs

The Course File is not showing on 'My resources' in the Portal.

Firstly, you need to upload the file to the File Store. Then, navigate to the course template or course date, right click, select File Store, right click on a document and select Edit.

Scroll down to the drop down field called Delegate Statuses.

The statuses you select in here are the status of the Delegates that can access the document in their learner portal. Make sure that the tick box 'Delegates can access this file' is ticked.

For example, if you selected the Delegate statuses "booked" or "in progress", then any Delegate on this course with these statuses can access the file. 



I have uploaded a File and linked it to a course but the File is not appearing in 'My Resources'.

If you right-click on a File and Edit it, you will see whether this file is available to any Trainers or Delegates to view in the Portal.
