About Zynk

Zynk is a middleware that facilitates an integration between accessplanit and either Sage or Xero. Zynk has its own charges so please get in touch with Zynk to find out about their annual charge.

Zynk takes data from your accessplanit platform, including customer information, invoices, and transactions ā€“ and formats it specifically for Sage or Xero, before automatically adding it to your chosen system. This integration eliminates the need for manual data entry, saving time and reducing the chance of human error!

Please note that this is currently a one-way integration, meaning data flows from accessplanit into Sage or Xero, but not the other way around.

How does Zynk work?

Ā 

For Sage & Xero integrations, Zynk completes four tasks:

  1. Pulling financial data out of accessplanit

  2. Transforming the data into the right format for Sage or Xero

  3. Posting the transformed data into Sage or Xero

  4. Notifying accessplanit that a sync has happened

Requirements for using Zynk

Before proceeding with Zynk, please check through the below list to make sure that it is suitable for you:

  1. You must have access to Windows, Zynk does not have an available download for Macs

  2. If using Sage you must be using Sage 50 and you must not be using the cloud version

  3. You cannot have a Sage and a Xero integration set up at the same time, if you need to switch from one to the other, please contact our support desk

  4. Review our documentation to be sure that our off-the-shelf integration meets your requirements:

Sales Invoice

A sales invoice is a request for payment from a supplier

Nominal Code

Nominal codes are unique reference numbers that are used to categorise transactions, this allows accountants to monitor what types of financial transactions are being made and for what areas of the business. Here are a few of the standard Sage nominal codes as examples:Ā 6201 - Advertising,Ā 0030 - Office equipment,Ā 4000 - Sales type A.

If you do not provide Nominal Codes, the default nominal codes that are supplied in this integration are:

  • 4000 for Sage

  • 200 for Xero

Tax Code

Tax codes indicate the tax 'category' that would be assigned to an invoice or invoice item within Sage. While there may be many invoice items with a 0% tax rate, there may be different reasons for this, tax codes are used to identify this reason, i.e. zero tax rated invoice items, and tax exempt items

Tax Rate

Tax rate is the percentage of tax added to the net value i.e. 20%

Terms Agreed

Terms agreed is where the invoice terms have been agreed to, accessplanit considers this to always be 'yes' ('1') with the invoices in the system

Carriage

accessplanit does not manage carriage fees

What are the key steps for setting Zynk up?

To help you understand the process for setting up a Zynk integration with accessplanit, here are ā€˜headlineā€™ tasks for configuring an integration using Zynk:

  1. If you do not yet have an account, create Xero or Sage account

    1. If you are using Xero, you will need to complete an additional task to generate a Private/Public key, this is required for setting up the application

  2. Download a trial of Zynk -Ā http://zynk.com/download-trial/

    1. Once you have completed the form, you will receive an email with your Licence Key and a link to download Zynk, click this link to go to your Browser and Download Zynk

    2. Once you have downloaded and installed Zynk youā€™ll be asked for your Licence Key

    3. Click Activate to open Zynk

  3. accessplanit will support you with setting up the integration workflow within Zynk, using our off-the-shelf templates

  4. Test the process using accessplanit test or sandbox site and a Sage or Xero demo environmentĀ 

  5. Once the testing phase has been signed off, the workflows in Zynk will be updated to use your live accessplanit platform and your live Sage/Xero account.

FAQā€™s

Yes! If you have not supplied any nominal codes in your platform, Xero defaults to 200 and Sage defaults to 4000, however this can be set to a different code of your choice. Please let a member of the accessplanit team know if you would like this to be changed.
