Learn how to send an email to the Trainer(s) assigned to a Course

If you have any ad-hoc Course updates or essential information to share with your Trainers outside the usual automated process, you can quickly craft and send them an email directly from your Courses DataGrid!

📧 Email a Trainer

This step will take you through finding the Course and emailing the Trainers that are assigned to it

  1. Within the 'Class Courses' or 'Web Courses' DataGrid

  2. Find the Course, select edit

  3. Click the 'Actions' button in the top right and select the option 'Send Email'.

  4. Configure an Ad Hoc email to the Trainer email address and press 'Send'

  5. In the blue navigation menu on the left, select the option 'Communications' to review the email sentFrom the Main Navigation Menu, go to Courses>Class or Courses>Web

  6. Using the Search bar in the top right of the DataGrid, search for your Course using the Course ID or Course Name

  7. Right-click the Course and click 'Email from the context menu

  8. This will open the ‘Email’ pop up box

  9. From here you can selected whether the Email is a pre made Template or AdHoc. If you have a Template then you can select this by clicking the ‘Select’ button. If you haven't please continue to step 6.

  10. From the ‘Creation Type’ drop-down, select ‘AdHoc’

  11. This will add additional text boxes for you to freely write your email

  12. Under the ‘Sender & Recipient’ section, you will need to choose the option of ‘Trainer Email Addresses’

  13. Once you have added your ‘Subject’ and ‘Body’ of your email, you can select a signature if required

  14. Once you are happy with the contents of your Email, click the ‘Send’ button

🔍 Optional: View the sent email

  1. Open From the Communications DataGrid

  2. Make sure to sort it by Date Created descending

  3. Find the email

  4. Right-click previewMain Navigation Menu click Communications

  5. This will open the communications Datagrid which shows all Email’s and SMS that have been issued to your Users

  6. Usually, the ‘Date Created’ column is automatically showing the last Communication sent however, if your column isn't showing this, you can use the ascending and descending arrows to change it so that the column is showing descending

  7. You will now see the Email you have recently sent to the Trainer at the top of the DataGrid

  8. Right-click on the communication and select ‘Preview’ from the context menu

  9. This will open a pop out which shows you a preview of the Emails contents, and any information relating to the communication
