Steps to book a User onto a Course through the Shopping Basket

Learn how to make a Delegate booking as an admin, on behalf of your customer, through your accessplanit shopping basket!

There may be times when your customers are not able to make their own Course bookings, whether they do not have access to the Internet, or they do not have the confidence to use a computer, in these cases you are able to process the booking for them!

Please note, this page relates to the accessplanit Shopping Basket (also known as SB3). To learn how to process a booking through Checkout, our guide on ‘Book a User onto a Course through the Checkout Basket’ is more relevant.

Follow this page to learn the steps to take a booking on behalf of a customer!


🛒 Find and add the Course(s) to your basket

You will first need to identify which Course your customer would like to book onto, adding the Course to your Basket will allow you to select Delegates and/or create new Users to attend.

 Find and add the Course(s) to your basket
  1. Depending on whether you are checking Courses in a Classroom or Online, open the relevant Courses DataGrid on the main menu on the left

    Courses Tab

  2. Once you have opened your Course DataGrid, you can search for your Course using the Search bar at the top right hand side

  3. Right click on your selected Course and click ‘Add to Basket’

  4. You will see a confirmation pop-up to let you know when the Course has been added to your basket

  5. Once your Course has been added, you can go ahead and view your basket

  6. The first page will show you the Course(s) that are within your basket, and here you can select how many Delegates you wish to add to this Course

  7. Click the ‘Next Step’ button to progress to the ‘Login’ step where you will select the Booking User for this booking.

🧑 Select or register the Booking User

A Booking User can be the Delegate attending the course or they can be an employee that is responsible for making bookings.

 Select an existing Booking User
  1. Your name will auto populate the Booker option

  1. You can change the Booker by clicking the ‘Select Another Account’ button

  1. This will display a pop-up with a list of Booker's for you to choose from. You can use the search criteria at the top of the pop-up box to define your search.

  1. Click ‘Select’ button next to the Bookers name, this will populate the Booker option

  2. You can now click ‘Continue’ for the next step

If your Booker is not listed as an existing User, please follow the next process to register them as a new User

 Register a new Booking User
  1. If your Booker is not listed as an existing User, you will need to register them as a new User

  2. You can register the User by clicking the ‘Register and Continue’ button

  3. Provide the Users Email address and Password

  4. Click ‘Next Step’ to complete the Registration Form steps

Please note, your registration form may look different depending on what configuration you have.

  1. Provide the required information needed for the User

  2. Click ‘Next Step’

  3. You will receive confirmation that your new User has now been created. From here you can return to Basket.

🧑 Select or register the Delegate Users

Now you can choose the Delegates who will be attending the course, these users will receive any automated communication you have set up and will be able to access the portal to view their bookings.

Please note that, unless you are booking an eLearning/Document Course or you are booking onto a waiting list, you can proceed to the Payment step without selecting Delegates if you do not know who will be attending. This is called a ‘Placeholder Booking’.

 Select an existing Delegate User
  1. Once your Booker has been selected, the next step is to add your Delegate(s)

  2. You may will see your name will automatically populate as the selected Delegate, to change this, click the ‘Remove’ link next to your name

  3. A pop-up window will appear asking you to confirm you want to remove yourself as the Delegate

  1. Click ‘Yes’

  2. Once you have removed yourself, click ‘Assign Delegate’ to select a different User

  3. This will display a pop-up with a list of Users for you to choose from, you can use the search criteria at the top of the pop-up box to filter the list of Users and search for the right person

  1. Click ‘Select’ next to the required Delegate, this will populate the Delegate option

  2. You can now click ‘Next Step’ to proceed to the payment step of the basket

If your Delegate is not listed as an existing User, please follow the next process to register them.

 Register a new Delegate User
  1. Once your Booker has been selected, the next step is to add your Delegate(s). You will see your name will automatically populate

  2. To change this, click ‘Remove’

  1. A pop-up window will appear asking you to confirm you want to remove yourself as the Delegate

  2. Click ‘Yes’

  3. Once you have removed yourself as the Delegate, click ‘Assign Delegate’

  4. This will display a pop-up with a list of Delegates for you to choose from.

  1. In the bottom right, click the ‘Create New’ button

  2. A new pop-up box will appear with a new form for you to provide the details of the new User

  3. Once the form has been populated, you can go ahead and click ‘Save Delegate Details’ in the bottom right

  4. Once saved, the new Delegate name will appear in the Delegate option

  5. Click ‘Next Step’


☑️ Optional - Manage Product & Service add-ons

If the Course you are processing the booking for has optional Products & Services assigned to it, you will have the option to add these to the booking

 Select optional Products & Services
  1. If you have any optional Products & Services assigned to your Course, they will be visible under your selected Delegate(s) as 'Add ons'

  2. You can select the Product or Service for each Delegate and, if the Product & Service is not directly linked to your Delegates, you can also amend the quantity to be purchased

  3. Click ‘Next Step’


☑️ Optional - Select the Sessions

Sessional courses are made up of multiple course dates, when booking a sessional course you will have the option to select from any non mandatory sessions.

 Select the Sessions
  1. Once you reach the Sessions stage of the basket, select any optional sessions that the Delegate(s) should be booked onto, the mandatory sessions will already be selected and greyed out

  1. Click ‘Next Step’


💵 Complete the payment stage

The last stage of the basket is to select your payment method, there are multiple payment methods available. Please see our Account Finance Options for the different methods available to you.

  1. The Payment step will show you an overview of your Basket, below this you will be required to provide information about the payment such as billing details, payment details, and any Discounts to be assigned to the booking.

  2. Use the ‘Discount Code’ text box to add a Discount Code in for manual discounts, automated Discounts that you booking meets the criteria for will have automatically been applied to your booking and they will show above your total

  3. You may be required to apply a ‘Billing address’ for the booking

  4. The next step is to enter your payment details.

  5. Here you can choose which payment method should be used for the booking, this will include any Payment Methods that you have enabled on your platform

  6. You will be required to accept the Terms & Conditions

  7. Click ‘Complete’

  8. Once Completed, you will receive an ‘Order Summary’ confirming your Booking
