Learn how to export data from your platform DataGrids

While your platform DataGrids are a great way to filter and report on your information, if you need to go a step further and analyse your data for trends, or share your data with colleagues, the export function available from your platform DataGrids allows you to transfer your data into multiple formats such as Excel spreadsheets, csv files, and xml!

This step will walk you through how to export data from your DataGrid

Please Note
The Export function can be used within most DataGrids, you can follow the same steps for all DataGrids with the ‘Export’ function

  1. Depending on what data you would like to export, open the relevant DataGrid from your main navigation menu on the left

  2. This will open the corresponding DataGrid for the area that you have selected

  3. If you would like to only export a selection of data from your DataGrid, i.e. ‘Future Courses only’, apply filters to your DataGrid to only see this data and then use the select all checkbox at the top left of your DataGrid to select all of the results that meet your filter’s criteria

  4. Click the ‘Export’ button at the top of the DataGrid

  5. This will open the ‘Export’ form, fill in the required information

    Rows -  This selector has three options:
    All Pages will export all the pages in the DataGrid
    Current Page will export only the current page of data selected on the grid
    Selected Rows will export only the rows that have the checkbox selected  (select this option if you only want to export the selection of data that you have filtered and selected)

    Format - This selector allows you to specify the output file format of the export, the options are as follows: Excel XLXS, Excel XLS. Word DOCX, CSV, PDF, XML

    Columns - This option allows you to specify the columns that are included in the export. Selecting 'Restore selected columns' will set the option back to its default and remove any columns you may have added or removed.

    File Name - This will be the name of the file once it has been exported.
    (NOTE: You cannot include the . symbol in the File Name as this will corrupt the file when saved)

    Headers - Allows you to specify if the header columns will be included in the export or not.

  6. Once you have defined your settings, click the ‘Export’ button

  7. This will automatically download the data into the format you have requested. This usually appears in the top right of your web browser

    The document will also be found within your ‘Downloads’ file within your File Explorer

Note

Please Note

Each Excel cell has a character limit of 32,767. If you exceed the character limit in your export, the entire Excel page will fail to load. To avoid problems, keep the number of characters in your cell below the limit.

Exporting large DataGrids of data may slow your platform down or cause a timeout error. If this occurs, we advise exporting the information in multiple downloads and running your exports outside of busy periods.
