Steps to view all future, available, Courses

Learn how to view a list of all Courses that are available to your customers.
As a training admin it is always important to be on top of your upcoming Courses, whether this is to answer your customers' questions about Course availability, know which Courses may need to be cancelled or deferred, or keep on top of tasks and activity for these Courses, being able to quickly access a list of future, available Courses can make your administrative tasks much easier!
Follow this page to learn the steps to view all future, available, Courses in your platform
🔎 View all available Classroom Courses
This step will run through how to access the list of Delegates who are attending class-based Courses with you that start next week.
You will build DataGrid filters that you will be able to reuse the next time you want to view this information!
To view all Delegates for Classroom Courses next week, you will follow these steps:
Access and filter your Class Delegates DataGrid
Display the information you require in your DataGrid
Access and filter your Class Courses DataGrid
This step will take you to a list of all future Classroom Courses that have places available for bookings.
Access the Class Course DataGrid by going to Courses>Class in the main menu on the left-hand side
This will open the Class Course DataGrid which will show all Class Courses within the Platform
First check to see if you have an existing filter available in your DataGrid which only shows you future Courses
Filters may be included in your filters bar, or they may be tucked away in the Filters drop-down box to the right of the filters bar, if you already have a filter available you can click on it to apply it to your DataGridÂIf you do not yet have an existing filter, click on the ‘Filters’ drop-down button to the right of the filters bar
Click on the ‘+ Create New’ optionÂ
Create your new filter using the following settings:
Start Date - Period - FutureClick the ‘Preview’ button to check that your filter works as you expect!Â
If you would like to save your filter for future use, provide your filter with a name and click on the 'Save' button
Your DataGrid should now only show you Future Courses, and you will have a new filter in your filter bar which you can toggle on/off by clicking on it
Display the information you require in your DataGrid
This step will show you how to adjust the columns that are displayed in your Class Courses DataGrid so that you can see the information you need to see.
Access the Class Course DataGrid by going to Courses > Class in the main menu on the left-hand side
This will open the Class Course DataGrid which will show all Class Courses within the Platform
Consider the information that you need to know about your available Courses
This could include venue name, available places, profitability forecastRemove any columns that you do not need to see in your DataGrid by right-clicking on them and clicking the ‘Remove Column’ option
To add additional columns into your DataGrid, click on the ‘Change Columns’ button at the top right of the DataGrid results
Use the ‘+' button to add new columns in, search for the column you require and click on the 'Apply’ button
You will now see the information you need, within your DataGrid!
🔎 View all available Webinar Courses
This step follows the same process as the Classroom Course Delegate step above, it will run through how to access the list of Delegates who are attending web-based Courses with you that start next week.
You will build DataGrid filters that you will be able to reuse the next time you want to view this information!
To view all Delegates for Webinar Courses next week, you will follow these steps:
Access and filter your Web Delegates DataGrid
Display the information you require in your DataGrid
Access and filter your Web Courses DataGrid
This step will take you to a list of all future Webinar Courses that have places available for bookings.
Access the Class Course DataGrid by going to Courses>Web in the main menu on the left-hand side
This will open the Web Course DataGrid which will show all Web Courses within the Platform
First check to see if you have an existing filter available in your DataGrid which only shows you future Courses

Access the Web Course DataGrid by going to Courses>Web in the main menu on the left-hand side
This will open the Web Course DataGrid which will show all Web Courses within the Platform
Consider the information that you need to know about your available Courses

📊 Build a Dashboard Area to show you all available Courses
This process will show you how to build a new Dashboard Area on your Dashboard for you to view and report on all available, future Courses
This Dashboard Area will then be available to you from your homepage each time you login so that you always have quick access this information!
To build your new Dashboard Area, you will follow these steps:
Add a new Dashboard Area
Add a Statistics Gadget to show you the number of future, available Courses
Add a DataGrid Gadget to show you a list of the future Courses with a status of ‘available’ that have places remaining
Add a Summary Gadget to show you the number of available Courses per month
Add a new Dashboard Area
This step will show you how to add a new Dashboard Area to your Dashboard
Click on the Dashboard main menu option to be taken to your Dashboard
Click on the arrow icon button on the Dashboard Area drop-down box
Click on the ‘Add Area’ option to create a new, blank, Dashboard Area
Provide a name for your new Dashboard Area
Click OK
You will now have a new Dashboard Area which does not contain any Gadgets
Move onto the next step to start adding Gadgets to your Dashboard Area!
Add a Statistics Gadget to show you the number of future, available Courses
This step will show you how to add a new gadget to your Dashboard Area which shows you a count of the booked Delegates assigned to next week’s Courses
When you are viewing the Dashboard Area that you would like to add your Gadget to
Click on the ‘Add Gadget’ button at the top right of the page
Find the ‘Statistics’ gadget and click the ‘Add Gadget’ button
The Gadget will be added to your Dashboard, however it now needs configuring
Click on the message within the Gadget to open the settings to set your Gadget up
Complete the following details:
Header: Provide a name for your gadget that will make sense to you later, for example ‘Future Courses’ or ‘Available courses’
Auto Refresh: We recommend leaving this option disabled so that the gadget is not affecting the performance of your platform when you are not using it
Auto-height: We recommend leaving this option unchecked so that you can change the height of the gadget yourself
Module: Select the ‘Courses’ module
Aggregate Function: Select the ‘Count’ option as we want to count the number of Courses that meet our criteria
Filters: this is where we will define the criteria for the Delegates we want to show in the Gadget! The filters we recommend for this are:
For future Courses use the following filter - Start Date – Period – Future (this will mean that the gadget is only counting Courses which are due to start in the Future)
ii. For Available Courses use the following filter - Course Status - Is In- Available (this will mean that the gadget will only count Courses with the status of available)
Click Save to complete your Gadget
You can now reposition and adjust the size of your Gadget before moving onto the next one. You can do this by hovering over the edge of the gadget and using the arrows to drag it to size

This step will show you how to add a new gadget to your Dashboard Area which shows you the details of the booked Delegates assigned to next week’s Courses
When you are viewing the Dashboard Area that you would like to add your Gadget to
Click on the ‘Add Gadget’ button at the top right of the page
Find the ‘DataGrid’ gadget and click the ‘Add Gadget’ button
The Gadget will be added to your Dashboard, however it now needs configuring
Click on the message within the Gadget to open the settings to set your Gadget up
Complete the following details:
Header: Provide a name for your gadget that will make sense to you later, for example ‘Future Courses’ or ‘Available courses’

Columns: Select the Course information that you would like to include in your DataGrid Gadget, and select which columns you would like to sort your Courses by (for example, if you would like to see all the Courses that are running first, you can sort by the Start Date ascending)
Filters: this is where we will define the criteria for the Delegates we want to show in the Gadget! The filters we recommend for this are:
For Future Courses use the following filter - Start Date – Period – Future (this will mean that the gadget is only counting Courses which are due to start in the Future)
ii. For Available Courses use the following filter - Course Status - Is In - Available (this will mean that the gadget will only count Courses with the status of available)
Click Save to complete your Gadget

The Gadget will be added to your Dashboard, however it now needs configuring
Click on the message within the Gadget to open the settings to set your Gadget up

Course Start Date - sorted Ascending - labelled as ‘Start Date’ - Group By - Month and Year (this will include a list of the the start dates in the gadget)
ID - not sorted - labelled as ‘Courses - Count’ (this will include a count of the number of Courses per start date month)
Filters: this is where we will define the criteria for the Delegates we want to include in the Gadget! The filters we recommend for this are:
For Future Courses use the following filter - Status – Period – Future (this will mean that the gadget is only counting Courses that are due to start in the Future)
ii. For Available Courses use the following filter - Course Status - Is In - Available (this will mean that the gadget will only count Courses with the status of available)
Click Save to complete your Gadget!
You can now reposition and adjust the size of your Gadget alongside the other Gadgets!
