Learn how to define the Resource Requirements for your Course Templates.

Organised Course delivery begins with defining the essential resources that each of your Courses requires to run. From Trainers and Venues through to specialised equipment, a clear identification of these requirements gives you and your team a reliable checklist per Course to make sure everything is organised ahead of your start date.

Per Course Template in your platform you can define what Resources it needs to run, i.e. the Courses require a trainer, a venue, and a projector, and you can also pre-define which Resource should be used, i.e. the Courses typically have ‘John Smith’ as the trainer.

Follow this page to learn how to define the typical Resource requirements for each of your Course Templates.

Please Note

Your Course Template settings are used to define the standard settings for your Courses, however you can override and update most settings for each Course that you schedule.

It is possible to remove, and add additional, Resource Requirements when you schedule your Courses.

This step will run through how to add a Resource Requirement to your Course Templates

  1. Open the Course Template DataGrid from your main navigation menu on the left

  2. This will open the course Template Course Templates DataGrid

  3. Find the Course Template you would like to assign Resource Requirements to by applying filters and/or searching the Course Templates DataGrid

  4. Right click on the Course Template you wish to update and click ‘Resource Requirements’ in from the context menu options

  5. This will open the Resource Requirements DataGrid for this Course Template

  6. Click the ‘Add Resource Requirement’ button

  7. This will open the Resource Requirement Formform

    Resource Type - Select what type of Resource is required when this Course is run.
    Resource Types are used to group your Resources, such as 'Internal Venue', 'Laptop', and 'External Trainer'. They are used to define what your courses need to run, and can be customised to suit your training needs.

    Resource - This fields title changes depending on which Resource you select from the above dropdown. When (Optional): Use this option to pre-define a specific Resource to use when this Course Template is scheduled as a Course,
    If you decide to pre-select a Resource, when clicking the ‘Select’ button, a pop up will open with the available options based on your Recourse Type. From the pop up, select your the Resource you would like to allocate

    Quantity - Add the total number of the Resource you wish to add
    Cost - Add the Cost of your ResourceResources you need for this Course Template to run (i.e. ‘1' projector)
    Cost - If you would like to define how much your Resource costs to use on this specific Course, add a ‘Cost’ amount here, if you leave this empty then the standard Cost assigned to your Resource will be used instead to calculate your Course expenditure figures for profitability reporting
    Cost Per - Select what the cost Cost is per - for example, is it cost per Delegate, cost per Session etc.

    Requirement Met -ticking checking this option will mark this Resource Requirement met so this is only used if you do not want this requirement to show as required for the Course

    Your Course as ‘met’ which means that it will not be reported as a requirement to be organised, this option is typically only checked once a Resource has been allocated to the Requirement

  8. Your Course Template will now show your new Resource Requirement

  9. When you schedule Courses using this Course Template, they will now have the Resource Requirements listed as standard for you and your team to organise and assign
