About Resource Types
Resource Types serve as a way to categorise and organise the various Resources required for your Courses. These can include items like 'Internal Venue' for on-site locations, 'Laptop' for equipment needs, and 'External Trainer' for Trainers outside your Company.
By creating and customising Resource Types, you gain the flexibility to define exactly what is necessary to run your Courses successfully. This Platform allows you to tailor resources to fit the specific needs of your Courses, ensuring that all essential elements are accounted for and managed efficiently
Benefits
Here are the benefits of using Resource Types
Visibility & Scheduling | The Resource Calendar feature allows administrators to view resource availability in real time, reducing the risk of scheduling conflicts or double bookings. This is particularly helpful when managing venues, trainers, and other Resources needed for your courses. |
Streamlined | Resources such as trainers and venues can be automatically assigned to courses based on Course Templates, which saves time and ensures consistency in scheduling. |
Customisation | You can create Custom Resource Types beyond the default categories like trainers or venues. This enables Training Providers to manage specialised resources like specific equipment or unique services relevant to their Courses. |
Enhanced Workflow Integration | Resources integrate seamlessly with workflows, keeping Trainers and Venue contacts informed with automatic notifications and updates, ensuring smooth Course delivery. |
Centralised Management | The system consolidates all resources, including their availability, costs, and types, in one place. This makes it easier to manage and allocate them efficiently. |
Key Terms and Glossary
Parent Resource Type | Here, you can assign your Resource a Parent Resource Type - that is, a Resource Type that it is nested within, such as Equipment or Trainer. Leave this blank if you don't want your Resource Type to be a subcategory of another Resource Type. |
Enabled | Ticking this box means that this Resource Type will be a selectable option when creating Resources. |
Protected | Ticking this box will prevent yourself or other Administrators from deleting your Resource Type. |
Accounts | In this area, you can specify which Accounts have access to this Resource Type within accessplanit. Leaving this field blank will allow all Accounts to use this Resource Type. |
What is a Parent Resource Type?
Parent Resource Types are your way of categorizing Resource Types. A Parent Resource Type must be selected for your Resource Type to be visible on the Platform.
The most common Parent Resource Types are:
Trainer
Venue
Equipment
Catering
Course Materials
Parent Resource Types act as broad categories that group related Resource Types within your accessplanit Platform. These Resource Types are then used to define the specific Resources needed for your Courses.
For example, if you want to track and manage the availability and usage of your laptops for various Courses, you would first create a Laptop Resource Type. Since laptops fall under a broader category, you would place this Laptop Resource Type under a Parent Resource Type called "Equipment." This parent category could also include other Resource Types, like projectors or flip charts. By organising Resources in this way, you can easily manage their availability and ensure that the right Resources are assigned to the right Courses when needed. Here are some examples:
