Learn how to view a list of all Delegates that are booked to attend Courses with you that are starting next week

When you are completing the prep for your Courses running next week, checking over the list of Delegates that are booked for each Course, and making sure you have all the information you need and everything ready is a must-have!

To view the Delegates that are attending Courses next week, you can either use your platform’s Delegate DataGrids to view and manage the Delegates per type of Course (Class Courses, and Web Courses), or you can create your own Dashboard Area with the details, stats, and lists of Delegates for Courses running next week

This step will run through how to access the list of Delegates who are attending class-based Courses with you that start next week.

You will build DataGrid filters that you will be able to reuse the next time you want to view this information!

To view all Delegates for Classroom Courses next week, you will follow these steps:

  1. Access and filter your Class Delegates DataGrid

  2. Display the information you require in your DataGrid

Access and filter your Class Delegates DataGrid

This step will take you to a list of all Delegates booked onto Classroom Courses that start next week

  1. Open the Class Delegates DataGrid via the Smart Grids main menu option

  2. First check to see if you have an existing filter available in your DataGrid which only shows you Delegates assigned to Courses that start next week
    Filters may be included in your filters bar, or they may be tucked away in the Filters drop-down box to the right of the filters bar, if you already have a filter available you can click on it to apply it to your DataGrid

  3. If you do not yet have an existing filter, click on the ‘Filters’ drop-down button to the right of the filters bar

  4. Click on the ‘+ Create New’ option

  5. Create your new filter using the following settings:
    Course Start Date -- Period -- Next Week

  6. Click the ‘Preview’ button to check that your filter works as you expect!

  7. If you would like to save your filter for future use, provide your filter with a name and click on the 'Save' button

  8. Your DataGrid should now only show you Delegates that are assigned to Courses that have a start date next week, and you will have a new filter in your filter bar which you can toggle on/off by clicking on it

  9. Next check to see if you to see if you have an existing filter available in your DataGrid which sets your DataGrid to only display Booked Delegates

Display the information you require in your DataGrid

This step will show you how to adjust the columns that are displayed in your Class Delegates DataGrid so that you can see the information you need to see.

  1. Consider the information that you need to know about all of the Delegates attending your Classroom Courses next week
    This could include dietary requirements, contact information, and which Course they’re booked on

  2. Open the Class Delegates DataGrid and ensure your filters are applied to only show you booked Delegates that are assigned to Courses starting next week

  3. Remove any columns that you do not need to see in your DataGrid by right-clicking on them and clicking the ‘Remove Column’ option

  4. To add additional columns into your DataGrid to view more information for each Delegate, click on the ‘Change Columns’ button at the top right of the DataGrid results

This step follows the same process as the Classroom Course Delegate step above, it will run through how to access the list of Delegates who are attending web-based Courses with you that start next week.

You will build DataGrid filters that you will be able to reuse the next time you want to view this information!

Display the information you require in your DataGrid

📊 Build a Dashboard Area to show you all Delegates for Courses next week

This process will show you how to build a new Dashboard Area on your Dashboard for you to view and report on the Delegates that are attending Courses with you next week.

This Dashboard Area will then be available to you from your homepage each time you login so that you always have quick access to the information about Delegates starting courses with you from the next week!

To build your new Dashboard Area, you will follow these steps:

  1. Add a new Dashboard Area

  2. Add a Statistics Gadget to show you the number of Delegates booked onto Courses starting next week

  3. Add a DataGrid Gadget to show you a list of the Delegates booked onto Courses starting next week

  4. Add a Summary Gadget to show you the number of Delegates who are starting their Course per day

Add a new Dashboard Area

This step will show you how to add a new Dashboard Area to your Dashboard

  4. Provide a name for your new Dashboard Area

Add a Statistics Gadget to show you the number of Delegates booked onto Courses starting next week

This step will show you how to add a new gadget to your Dashboard Area which shows you a count of the booked Delegates assigned to next week’s Courses

  1. View the Dashboard Area that you would like to add your Gadget to

  2. Click on the ‘Add Gadget’ button at the top right of the page

  3. Scroll down to the ‘Statistic’ gadget and click the ‘Add Gadget’ button

  4. The Gadget will be added to your Dashboard, however it now needs configuring!

  5. Click on the message within the Gadget to open the settings to set your Gadget up

  6. Complete the following details:

    1. Header: Provide a name for your gadget that will make sense to you later, for example ‘Delegates Booked onto Courses Next Week’

    2. Auto Refresh: We recommend leaving this option disabled so that the gadget is not affecting the performance of your platform when you are not using it

    3. Auto-height: We recommend leading this option unchecked so that you can change the height of the gadget yourself

    4. Icon: Select an icon that makes sense for the gadget

    5. Colour: Select a colour that would work well with white text (i.e. do not select a colour that is very light/pale)

    6. Module: Select the ‘Delegate’ module

    7. Aggregate Function: Select the ‘Count’ option as we want to count the number of Delegates that meet our criteria

    8. Filters: this is where we will define the criteria for the Delegates we are counting! The filters we recommend for this are:

      1. Status – Is in – Booked (this will mean that the gadget is only counting Delegates with the status of ‘Booked’)

      2. Course Start Date – Period – Next Week (this will mean that the count will only reference Delegates on Courses with a start date next week)

      3. Course Template Type – Is In – Class & Web (this will means the Delegates on eLearning/Doc Courses will not be counted)

  7. Click Save to complete your Gadget!

  7. Click Save to complete your Gadget!

      1. Status – Is in – Booked (this will mean that the gadget is only counting Delegates with the status of ‘Booked’)

      2. Course Start Date – Period – Next Week (this will mean that the count will only reference Delegates on Courses with a start date next week)
