If a Delegate has lost one of their certificates, or they would like an additional copy sending over to them, learn how to generate a certificate for a Delegate.

While certificates can be emailed out from your accessplanit platform automatically when your Delegates are marked as ‘Completed' on their Courses, there may still be times where you need to generate certificates for them. Whether this is to publish the certificate to their Learner Portal for them to view and download, or whether this is to replace a lost certificate, it is quick and easy to manually generate certificates.

📮 Option 1: Publish a certificate to a Delegate’s Learner Portal

This step will run through how to publish a certificate for one or more Delegates into their Learner Portal

To publish a certificate to a Delegate’s Learner Portal, you will follow these steps:

  1. Identify the Delegate(s) within the Course

  2. Generate the certificate into the Learner Portal

Identify the Delegate(s) that require a certificate

  1. Depending on whether your Delegate was booked onto a Classroom Course, Webinar Course, eLearning Course, or Document Course open the relevant CourseDataGrid

  2. If the Course was Classroom or Webinar, find the Course the Delegate attended by applying filters and/or searching the Courses DataGrid

  3. Right-click on the Course the Delegate attended, this will show you the context menu options for this Course

  4. Click on the ‘Delegates’ context menu option

  5. You will be taken to the Delegates DataGrid, which will show you the Delegates assigned to this Course only

  6. From the Delegates DataGrid, identify the Delegates that you want to download the certificate for

Generate the certificate into the Learner Portal

  1. Select each Delegate that you want to download the certificate for by checking the checkbox on their row in your Delegates DataGrid

  2. Click the down arrow button next to the select-all checkbox, and then click the ‘Generate Documents’ option

  3. This will open the Document Generator window

  4. Click ‘Select’ on the Document Template box to select your Certificate

  5. Select the relevant Certificate from your Document Template options and click the ‘OK’ button to confirm

  6. Select whether you would like the certificates to download as in a PDF or a Microsoft Word format

  7. Select ‘Issue to Delegate’s Learner Portal' for the Generation Type option

  8. Leave the ‘Exclude Previous Recipients’ option unchecked to download the certificates for every Delegate you selected

  9. Click the ‘Generate’ button to generate and download the certificates for your selected Delegates

  10. You will see a pop-up message that the process may take some time, select 'Yes' to continue

  11. Once the process is complete and the certificates are issued to the Delegates' Learner Portal view, you will see a confirmation pop-uo

⬇️ Option 2: Download a Delegate’s certificate

This step will run through how to download a certificate for one or more Delegates

To download a Delegate’s certificate, you will follow these steps:

  1. Identify the Delegate/s within the Course

  2. Download the certificate into your browser

  6. From the Delegates DataGrid, identify the Delegates that you want to download the certificate for

  1. Select each Delegate that you want to download the certificate for by checking the checkbox on their row in your Delegates DataGrid

  2. Click the down arrow button next to the select-all checkbox, and then click the ‘Generate Documents’ option

  3. This will open the Document Generator window

  4. Click ‘Select’ on the Document Template box to select your Certificate

  5. Select the relevant Certificate from your Document Template options and click the ‘OK’ button to confirm

  6. Select whether you would like the certificates to download as in a PDF or a Microsoft Word format

  7. For the Generation Type option:

    1. Select ‘Generate & Download’ if you would like the platform to remember that these Delegates have had their certificate generated

    2. Select ‘Download Preview’ if you would like the platform to not remember that these Delegates have had their certificate generated
      This selection will impact whether the Delegates will be included in future downloads if the ‘Exclude Previous Recipients’ is checked, if this checkbox is checked any Delegates that the platform remembers generating certificates for in the past will not be included

  8. Leave the ‘Exclude Previous Recipients’ option unchecked to download the certificates for every Delegate you selected

  9. Click the ‘Generate’ button to generate and download the certificates for your selected Delegates

  10. You will see a pop-up message that the process may take some time, select 'Yes' to continue

  11. The certificates will now be downloaded to your computer/device for you to print and/or share.


📧 Option 3: Email a certificate to a Delegate manually

This step will run through how to email a certificate for one or more Delegates directly to them

To email a certificate to a Delegate manually, you will follow these steps:

  1. Identify the Delegate(s) within the Course

  2. Email the certificate to the Delegate(s)

Note

Please note, this guide requires you to have an existing Email Template which contains a link for recipients to download their certificate, if you do not yet have an Email Template for this purpose please create one first.

  1. Select each Delegate that requires a certificate by checking the checkbox on their row in the DataGrid

  2. Click the down arrow button next to the select-all checkbox, and then click the ‘Email’ option

  3. This will open the ‘Email Details’ window where you will define your email settings

  4. Within Email Details, select ‘Template’ from the Creation Type option, this means that you will send the Delegate an email from a pre-built Email Template rather than writing an email from scratch

  5. Within Sender and Recipient, choose ‘Delegate Email Address’ from the To Address Property to send the email directly to the Delegate

  6. For the Email Template option, click ‘Select’ and select your existing Email Template that contains a link for your customers to download their Certificate, then click the 'OK' button to confirm your selection
    If you are do not have an Email Template with a certificate link included, please create this first

  7. Once you have completed the Email Details form, click the ‘Send’ button to send your certificate email to your Delegate(s)

  8. A confirmation pop up will appear to show the emails have sent successfully

    Please note, each User that you have selected to receive the certificate email must have a valid email address stored against their User to successfully receive the email
