Learn how to schedule a new public course in your accessplanit platform and advertise it through your website and your Learner Portal.

Whether you schedule your public Courses once a year, every 6-months, or you continually top up your scheduled courses, it is important that you keep your advertised list of public courses to your customers up to date and accurate!

If you have additional Courses to schedule and advertise to the public, you will use your existing Course Template to pre-fill a lot of information about the Course in, and then add it to the calendar!

Follow this page to learn the steps to schedule a public Course and advertise it ready for bookings!

Please note: if you work on a small laptop, we recommend scheduling your Courses from the Class/Web Courses DataGrids using the 'Add Course' button, instead of following the below steps to schedule via the Course Calendar


(plus) Add a new Course

The first step is to add a new Course, you will base this on an existing Course Template to save a lot of time typing in the typical information about your Course each time you schedule it.

titleAdd a new Course to the Calendar
  1. Open the Courses drop down and then Open the Calendar

  2. Use the Calendar View Selector at the top right to choose which time period of your calendar you would like to see

  3. Use the Calendar arrows to navigate to the date you would like to schedule your Course

  4. Right click on the Calendar in the time slot you want your Course to start

  5. Click Add Class or Add Web Course depending on which you are scheduling

  6. Select your Course Template

  7. Once selected, the Course will populate with the fields that have been defined at the template you you can then add in any additional details like an Override Alias
    You can also override any of the fields that came from the template to be different on this course instance

  8. Select your delivery method, ‘Public’ can be used to indicate this is a public access course

✍️ Assign your Resources

The second step is to fill any Resource Requirements for this Course; such as the Trainer, Venue, equipment, and catering.

  1. Proceed to add a trainer by selecting 'Select' to the right of the 'Trainer' field.

  2. Select the best fit Trainer with an availability type of 'Available'

  3. Select 'OK' when the trainer has been identified

  4. Add a Venue by selecting 'Select' to the right of the 'Venue' field.

  5. Select the best fit Venue with an availability type of 'Available'

(tick) Advertise your Course

The final step is to check over the details of your Course, and set it to be advertised so that it appears for bookings on your website and within your Learner Portal.

  1. Under the Promotion section, check the ‘Advertise’ check box

  2. Once checked you will get the option to add in an ‘Advertise Start Date’ and ‘Advertise End Date' here you can chose when to display your courses on your website or Learner Portal.

Tip

The 'Advertise End Date' allows you to stop advertising your course ahead of its start date, this means you can prevent last minutes bookings and allow you the time to prepare for the course.

The ‘Hide from Web’ checkbox allows you to remove the course from your Web Integration only advertise your courses on the Learner Portal

  1. Click the ‘Save’ button
