Learn how to mark a Course and it’s Delegates as Completed once the Course has run.

Once a Course has run, marking the Course as ‘completed’ and marking the attendance of the Delegates means that your automated post-Course communications will start to trigger (such as course evaluations, and certificates)! Additionally, Course status and Delegate status very often feed into important metrics and help to determine future Course schedules.

👥 Update unassigned Placeholder places to have assigned Delegates

If you have any Placeholders on your Course that do not yet have all of their places allocated to Delegates, this first step is to update the Placeholder so that all the places have been filled.

To update your Placeholders, you will follow these steps:

  1. Check if you have an Placeholders on your Course that has un-allocated places

  2. Allocate Delegates these Placeholder places

  1. Depending on whether your Delegate was booked onto a Classroom Course, Webinar Course, open the relevant CourseDataGrid

  2. Find the Course that you will be marked as completed, by applying filters and/or searching the Courses DataGrid

  3. Right-click on the Course that you wish to complete, this will show you the context menu options for this Course

  4. Click on the ‘Placeholders’ context menu option to see if this Course has any Placeholders

  5. You will be taken to the Placeholder DataGrid, which will show you the Placeholder Places assigned to this Course only

  6. From the Placeholders DataGrid, you will need to identify the Placeholder Places that are unallocated,you can check this by adding the the ‘Unused places’ column to your DataGrid

  7. If it is not already included in your DataGrid, you can add the 'Unused Places' column by click on the ‘Change Columns’ button at the top right of the DataGrid results

  8. Use the ‘+' button to add new columns in and click on the 'Apply’ button

  9. You will now see the unused Placeholder Places, within your DataGrid!

Allocate Delegates to the remaining Placeholder places

  1. Right click on the Placeholder Place and select ‘Assign To Placeholder’

  2. This will open the ‘Maintain Placeholder’ Pop up box where it will allow you to select your Delegate to use a

  3. Click ‘Select’ next to the Delegates text box

  4. This will open a pop up box with a list of all Delegates that are available to select. From here you can search for the Delegate you require using the search bar in the top right of the pop up box

  5. Once you have selected the Delegate you require, the Delegates selector box will populate

  6. Click Save & Close

  7. Your unused Placeholder places has now been allocated and your Delegate has now been booked onto the Course


✅ Mark Course & Delegate attendance

Once you have a complete list of Delegates on your Course, you can mark the Course as 'Complete' and mark the Delegate attendance on the Course

  1. Click Open the Courses and either Class or Courses Web DataGrid from your main menu on the left

  2. Locate the Course you wish to change the status of by using the Search menue menu in the top right hand side of the DataGrid

  3. Right-click on the Course to open the context menu and click ‘Edit Course & Delegate Status’

  4. The ‘Edit Course & Delegate status’ pop up box window will open

  5. You can select the Course Status of ‘Completed’ from here

  6. If selected ‘Completed’ you will have an additional tick box that will appear asking if you wish to ‘Apply to Delegates’

    Ticking this will change the status for all Delegates. If you choose to use this tick box, skip to step 8 but please be mindful that even cancelled and transferred Delegates will be set to ‘Completed’

  1. You can then select the status for each Delegate using the Drop their status drop-down box to the left right of each name

  2. Once you have updated the Course Status and Delegate Status click ‘Save and Close’ to save these status updates

  3. This will then trigger any automated Workflows that you have set up for completed Delegates!
