Learn how to schedule a new in-house course, that is exclusive for a specific customer only, in your accessplanit platform.

When you take a booking for a private, exclusive Course for a specific customer, it is important to record the Course in your accessplanit platform to ensure everyone has sight of when the Course is running, where it is running, and which resources will be required.

The first step is to add a new Course, you can base this on the Course’s Template to save a lot of time typing in the typical information about your Course each time you schedule it. titleAdd a new Course
  1. Open the ‘Calendar’ option within the Courses menu from your main navigation menu on the left

  2. Use the Calendar View Selector at the top right to choose which time period of your calendar you would like to see

  3. Use the Calendar arrows to navigate to the date you would like to schedule your Course

  4. Right click on the Calendar in the time slot where you want your Course to start

  5. Click ‘Add Class Course’ or ‘Add Web Course’ depending on which type of Course you are scheduling, this will open the new Course window

  6. Select the Course Template that your Course will be based on

  7. Once selected, the Course will populate with the details that have been defined on the Course Template, you can then add in any additional details including an ‘Override Alias’ to provide an alternative name for this Course
    You can also override any of the information that came from the Course Template to be different for this specific Course event

  8. Select your delivery method as ‘In House’ to indicate this is a private course

  9. Typically in-house Courses are charged per ‘Session’ rather than per ‘Delegate’, this means that a set fee will be charged to the customer rather than a price per head
    Within the ‘Financial’ section, set the Cost and the Cost Type for this Course.

🚫 Set your Course to be exclusive

The next step is to check over the details of your Course, and make sure it is exclusive to the customer the Course is being scheduled for.

  1. In the Exclusivity section add the customer you would like to have access to this course
    Exclusive Account - This allows you to restrict who can book this Course to one or more customer Accounts
    Exclusive Account Group - Allow you to restrict who can book this Course to one of more Account Groups

  1. Click the ‘Save’ button to apply your changes

✍️ Assign your Resources

The second step is to fill any Resource Requirements for this Course; such as the Trainer, Venue, equipment, and catering.

  1. To add a trainer to lead this Course, click the 'Select' button on the 'Trainers' option

  2. Select the best fit Trainer with an availability type of 'Available'

  3. Select 'OK' when you have the Trainer selected (it will have a blue background)

  4. If your Course is a Class type, you can also add a venue for this Course, to do this click the 'Select' button on the 'Venues' option

  5. Select the best fit Venue with an availability type of ‘Available' and click 'Ok’ to assign it to your Course

  6. Click the ‘Save’ button to apply your changes
