How to create a Report

  1. Reports in the Report Engine are created using Gadgets (mini reports). 



  2. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all reports you have access to.

  3. Select Add on the top left of the Datagrid.

  4. Provide your Report with a Name and choose the appropriate Module where you want to pull data from. Give the report a Description if required. Create the report by clicking Save. 




  5. The Module that you select does not restrict the area of the system that you can report on. You can create Gadgets from various modules within the same report. To learn more about system Modules, click here.

  6. Begin adding Gadgets to your report by selecting Add Gadget. 

  7. Choose the Gadget you wish to add to the report from the options presented in the pop up window.


  8. Create and edit the Gadget in the same way that you would your Dashboard Gadgets




  9. Just like DataGrids, you can resize and reshape your Gadgets to make your Report more user-friendly.

How to view a Report

  1. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all Reports you have access to.

  2. Right click on the Report you wish to view and select View from the context menu. 

How to edit a Report

  1. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all Reports you have access to.

  2. Right click on the Report you wish to edit and select Edit from the context menu. This will take you to the Report Details tab.

  3. Click on the arrow icon on the header bar of the Gadget you want to edit.

  4. Select Settings from the context menu. 



  5. Edit the Gadget in the same way that you would your Dashboard Gadgets.

How to clone a Report

Cloning a report before editing it ensures that you keep the original Report as a point of reference. This means you can completely change your new Report and still have the original to go back to in the future.  

  1. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all Reports you have access to.

  2. Right click on the Report you are interested in and select Clone from the context menu.



  3. Give the cloned Report a different title to the original so you can differentiate between the two.

  4. Create the cloned Report by selecting Clone.


How to define who can view or edit a Report

Determine who can view or edit a Report you have built by amending the Report permissions. As default, only the user who built the Report can view and edit it.

Define who can edit a report

  1. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all Reports you have access to.

  2. Right click on the Report and select Edit Permissions from the context menu.

  3. Define which Account Groups, Accounts or Roles can edit the Report.

  4. Update permission settings by clicking Save.



  5. The example above shows that only users with the role Training Administrator can edit the Report ‘Upcoming Courses and Delegates’. Editing permissions is an excellent way of ensuring that only the highest-level system users can make changes to Reports. 

Define who can view a report

  1. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all Reports you have access to.

  2. Right click on the Report and select View Permissions from the context menu.

  3. Define which Account Groups, Accounts, or Roles can edit the Report.

  4. Update the permission settings by clicking Save.

How to Export a Report

You may wish to export a report to provide information to a non-system user.

  1. Navigate to the Reports area and select Report Engine. You will be taken to a DataGrid showing all Reports you have access to.

  2. Right click on the Report you wish to export and select Edit from the context menu.

  3. Select Export at the top of the page.

  4. Choose the output format that you require and then click Export.
