Imports Overview

The Import areas of your accessplanit platform allow you to bulk upload information from spreadsheets into accessplanit.
You can upload data to a variety of areas of your platform, including User, User Awards, Accounts, and Courses.

Not all Users have access to the import area. This feature is available to Training Administrators and can be provided on request by contacting the Helpdesk.

Note

If you are completing a new import, we recommend importing a sample file first with only a few rows of data, so that you can verify there are no errors with the Import Profile.

Important Info regarding special characters Č, Š, Ž and Ć:

If your organisation/business operates using Languages where the following special characters are present - Č, Š, Ž and Ć - and you wish to use the importer to upload content containing these characters to the platform - you will need to contact the accessplanit Support Team.

Where to find Import Profiles and Jobs

Click on the User Icon at the top right hand side of the platform and select Administration:

Within this page, click the menu option Import Profiles or Import Jobs:

Import Profiles

The Import Profiles area is where you can create a template for your Imports to follow during the importation process.

An Import Profile is needed for uploading data to accessplanit as this is what dictates which columns from an Excel spreadsheet are mapped to which fields within the accessplanit platform.

The Import Jobs area is where you can schedule your Imports to upload onto the platform.

It's really important that the columns on your profile match exactly to the columns on your CSV file for you Import Job. If they don't match correctly, your import will not work.

What can you Import?

Here is a list of Import destinations on accessplanit:

Award	Importing a list of new awards to the platform, or updating existing awards with new information.
Candidate	Importing a list of delegates on class/web courses, or updating existing delegates with new information. Step-by-step instructions can be found here.
Company	Importing a list of new accounts to the platform, or updating existing accounts with new information. Step-by-step instructions can be found here.
Company Group	Importing a list of new account groups to the platform, or updating existing account groups with new information.
Course Award	Importing a list of new course award relationships. This can be either awarded, preferred or required awards.
Course Company	This is the second step of import course templates, which assigned them to a Training Provider on the platform. Step-by-step instructions can be found here for importing course templates.
Course Date	Importing a list of new course dates to the platform, or updating existing course dates with new information. Step-by-step instructions can be found here.
Course Template	This is the first step of import course templates, which imports all of the course template data. Step-by-step instructions can be found here for importing course templates.
eLearning and Document Delegates	Importing a list of delegates on eLearning/document courses, or updating existing delegates with new information. Step-by-step instructions can be found here.
Note	Importing a list of new notes to the platform, or updating existing notes with new information.
Opportunity	Importing a list of new opportunities to the platform, or updating existing opportunities with new information.
Permission record for a user	Importing a list of Users' Roles to the platform, or updating existing Users' Roles with new information. Users' Roles determine the level of permission they have over the platform. Step-by-step instructions can be found here for importing Manager Access.
Resource	Importing a list of resources to the platform, or updating existing resources with new information. Step-by-step instructions can be found here.
Resource Course	Importing a list of new resource course associations. These are stored against the resource, and determines which course templates they are allowed to be assigned to on the platform.
Resource Unavailability	Importing a list of new unavailability slots for resources. These are stored against the resource, and determines which course templates they are allowed to be assigned to on the platform.
Session Plan Item	If you importing sessional course templates, this is the third step, importing the session plan relationships. Step-by-step instructions can be found here for importing sessional course templates.
Trainer Resource	Importing a list of trainers to the platform, or updating existing trainer with new information.
Transaction	Importing a list of transactions to invoices on the platform, or updating existing transactions with new information.

User Manager	Importing a list of users/accounts/account groups that a user can manage to the platform. Step-by-step instructions can be found here.
