About Awards

The Awards module helps you track and manage the qualifications or certifications your Delegates earn when completing training. Whether it’s a prerequisite for a Course or a record of achievement, Awards ensure that learning progress is clear, visible, and structured.

Centralised achievement tracking

Keep all Delegate Awards in one place, making it easy to view training history and progress without using spreadsheets or external tools.

Course prerequisites

Use Required Awards to control access to Courses based on a Delegate’s prior experience or certifications.

Stay on top of compliance

Track award expiry dates so you can proactively manage when customers need to renew certifications, helping them stay compliant and reducing the risk of missed deadlines.

Support for structured learning pathways

Create learning journeys by associating Awards that must be completed before a Course.

Drive return bookings

Use expiry tracking to identify when your customers are due for re-certification, so you can send reminders based on these expiry dates to encourage repeat business.

Better booking decisions

Use Preferred Awards to flag recommended experience during booking, helping Bookers make informed choices for their delegates.

Assign Awards at the Course Template level so they’re automatically issued when Delegates complete their Course, saving admin time.

 


Key Terms and Glossary

Award

A certificate, qualification, or formal recognition that is given to a Delegate upon completing a Course or meeting a requirement.

Award Type

A sub-label that classifies the Award (e.g., "Certification", "Diploma", "Accreditation"). This helps determine what type of Award it is, for example, a Certificate or Diploma

Associated Awarded Awards

These Awards are automatically issued to a Delegate when they complete a specific Course or Award.

Associated Preferred Awards

Preferred Awards are recommended qualifications that delegates should ideally have before attending a Course. For example, having a Level 2 Award may be preferred before booking. If a Delegate doesn’t hold the preferred Award, the booker will see a warning during the booking process.

Note: this is not available in the Checkout basket

Associated Required Awards

Associated Required Awards are qualifications a delegate must have in order to book onto a course. You can set a minimum number of these required Awards, for example, a Delegate may need to have both Level 2 and Level 3 Awards before they can book onto a Level 4 course.

Minimum Required Award

The number of Required Awards a Delegate must have before being allowed to book onto a Course. For example, 3 awards may be required before booking

Unit Awards

Previously used for modular Courses to assign Awards per unit/module. This feature is deprecated and will be removed in a future update.

User Award

A record showing a specific Delegate has received a particular Award, including the status (e.g. "In Progress", "Completed") and any expiry date.

Award Status

Indicates the progress of an Award for a user, such as "Completed", "In Progress", or "Expired".

 


Creating an Award

Via a Course Template

Awards are created automatically when a Course Template has an ‘Award Type’ selected.

The Award will be created with the same label as the Course Template, and then automatically assigned as the ‘Awarded Award’ to this Course Template.

You can then update this Award via the Awards DataGrid in Administration.

Via the Awards DataGrid

You can create and manage your Awards from the Awards DataGrid in Administration, several fields within the Details page of Awards are required to create new Awards:

ID
The ID field provides the unique identifier for the Award. You can either give the Award an ID itself, or let the platform generate it itself.

Label 
This is where you store the name of your Award. It's best to give your Award a name that is easy for your admins to identify, and relates to the kind of Award you're wanting to distribute.

Award Type
This is a form of sub-label for your Award. It has no bearing on the Award, but helps to classify the Award. This displays against the Label of the Award.

By default, there are 10 Award types:

  • Award

  • Certificate

  • Competence

  • Diploma

  • External Training

  • Induction Unit

  • Unit

  • Post Qualification

  • Procedure

  • Qualification

Whilst these are just labels, it makes sense to choose one that best matches the type of Award you are creating. Simple, short courses such as moving and handling or first-aid would fall into either an Award or Certificate, whereas a degree would generally be classed as a Qualification, and inductions would be Procedure.

Additional Details
This free text box allows you to enter any other details about the Award you are creating.

Expiry Type
Your accessplanit Platform has two types of expiry options: Lifetime and Date.

  • If you wish to specify the number of months an award lasts, you should select the Lifetime option, this is the most common choice.

  • If the Award expires by a particular date for everyone who completes this Course, select the Date option.

Lifetime/Expiry Date
This field allows you to add either the number of months or the date after which the Award will expire, depending on the option selected in the previous field.

Level
Here, you can assign a level to the Award.


Assigning Awards to Course Templates

It is possible to assign Awards to Course Templates under the Course Template itself.

There are several options for Associating Awards:

  • Associated Awarded Awards
    These are Awards that are given to a Delegate upon completion of the Award.

  • Associated Preferred Awards (shopping Basket 3 Only)
    Preferred Awards warn the Booker that if a certain Award or series of Awards are preferred for the booking in question, that means, without these Awards, the Delegate may struggle without the extra experience that is required.

  • Associate Required Awards
    These Awards are a necessary prerequisite - without these Awards, a Delegate will not be able to book onto the Course. The Minimum Required Award allows you to designate how many of the Required Awards a Delegate must have before they can attend the Course.

Please Note
A Required User Award does not need to have the status of ‘Completed’ for the booking to be allowed, nor does it require a completed date.

 

  • Unit Awards
    This is used for Courses and can be used to assign Awards for each unit of a Course. Often, a Delegate will need to have acquired a set amount of Unit Awards before they can be given the overall Award for a Course.

Please Note
This is part of a previous version of the platform and is no longer functional. The Unit Awards section will be removed in a future product update

Required vs Preferred Awards:

If a course has a Required Award associated with it, you cannot book onto the Course unless the Required Award is already within your Award history.

If a course has a Preferred Award, you can book it without having the Preferred Award in your Award history, but you will see a warning prompt (Shopping Basket only, not Checkout) that explains that you should ideally have the preferred Award(s) before you book this Course, and you will be added to the Course provisionally.


Additional information stored against an Award

Categories
There is a dedicated Administration section for Categories that can be found by clicking here

Categories can be assigned (or removed) using this option. However, this option only shows existing Categories - new Categories cannot be added from here.

Exclusivity
This option allows you to limit the selected Award to only be available to specific Account Groups or Accounts, there is a simple add and remove option for the Account or the Group. 

Job Roles
Here, you can assign particular Job Roles that are associated with the Award. 

Job Roles has a dedicated admin section that can be found by clicking here.

Notes
The Notes tab allows you to add any Notes regarding the Award.

Attributes
On this page, you can access information about the Award, such as its Label and its ID.


Targeting Awards

Your accessplanit Platform allows you to target certain Users towards Awards. This can be useful for keeping track of which Users are required to complete certain Awards.

Targeting Awards can be performed within the Job Roles page of that particular Award.


➡️ CPD Points

CPD points are stored against the Course Template on the platform, and you can track a User's points using Awards - these are marked against the Course Template as 'Training Points' (see below)

When an Award is linked to a Course Template as an Awarded Award, it will be assigned to a User after they have completed a Course.

This User Award is where the CPD points will show, and you can view these in the DataGrid, additionally the Delegate will be able to see this information in their Learner Portal.


Expired Awards

Awards with expiry dates help you stay in control of compliance and keep your customers on track!

When a User’s Award reaches its expiry date, the User will need to retake the relevant Course. Once they complete the Course again, a new User Award will be generated for them, and their original User Award will be marked as renewed.

This approach ensures your records remain accurate, and gives you the opportunity to prompt users before expiry, helping them stay compliant and giving you a chance to encourage re-bookings at the right time.

FAQ’s

Without Awards, your Users will not have an Award history, they will only have course history. It may not always be relevant to have a corresponding Award linked to Courses, but it is best practice.

If you are selling a Course that Delegates are paying to attend that may need a refresher in a matter of years, having an Award associated with this Course is the best way to gather statistics based on attendance, pass rate, and resale of the same course or a refresher version of the Course later down the line. If you only list Courses without Awards, you can only report on who attended the Course. You can't report on who attended but didn't pass the qualification, when they may need to re-sit the Course for refreshers, or CPD.

 

Yes. Using Required Awards, you can prevent Delegates from booking unless they’ve received specific prior Awards. You can even specify how many of those Awards are needed.

 

Preferred Awards are advisory, they warn Bookers if a delegate might not be prepared. Required Awards are mandatory and block bookings if not met.

Please note, Preferred Awards are not supported in the Checkout basket

 

Absolutely! You can link Awards to Course Templates so they’re issued automatically once a Delegate completes the Course.

 

Yes, accessplanit includes reporting tools that let you filter and export data on all issued User Awards, including status and expiry dates.

 

Unit Awards are no longer functional and will be removed in a future update. We recommend using standard Awards with appropriate structures moving forward.

 

Not necessarily. Required Awards don’t have to be marked as "Completed"—they just need to exist on the user’s profile.

 

Yes, editing a Course Template and selecting an Award Type and Duration will associate an Award to this Course Template.

However, this will not give any existing Delegates that have previously been marked as completed an Award. In order for this to work, you would need to either:

  • Mark the Delegate as another status (e.g. 'In Progress'), then 'Completed' once more. In doing this, they would then pick up the associated Award.

  • Edit the User, go to Awards and manually add the Award to the User, populating the Date Completed, Expiry Date, etc. fields.

  • Import the User Award to the Delegate and specify the Course Date ID in the import file.
