Include Products & Services in your generated Invoices

The Mini Invoice Generator now offers the same flexibility as the full Invoice Generator for including Product & Service purchases.

Previously, it was only possible to invoice for Product & Service purchases alongside Delegates through the main Invoice Generator, in this update we have added this options into the Mini Invoice Generator now includes a new ‘Include on Invoice’ option, allowing you to choose:

  • Fees

  • Purchases

  • Both Fees and Purchases

This new option makes it easier to generate complete invoices for your individual Delegates and customers without needing to use the full Invoice Generation process!

📚 Book placeholder places on eLearning courses

You can now register places on eLearning courses without assigning delegates straight away!

This makes it easier for your customers to purchase training in bulk for a group of Delegates, they then have the flexibility to decide who will take each place at a later date!

Within the Checkout basket, your customers will be able to proceed through to the payment step for eLearning, having only selected the number of places they want to book. They can still select the Delegates, if they already know them, but it is no longer mandatory.

Please note

This option is not available in the legacy Shopping Basket, Placeholders for eLearning Courses is only available in Checkout

For Administrators, you have access to a new menu option on eLearning Courses where you can create & manage Placeholders.

From this page, you can assign Delegates to the Placeholders to grant them access to the eLearning, you can adjust the quantity of places the customer has purchased, generate Invoices for the Placeholder, and transfer/cancel them when appropriate.

Would you like this option turned off?

No problem! This is a configurable setting, just let a member of the accessplanit team know and we’ll turn the option for Placeholders on eLearning Courses off

Give Managers more control with Tasks

Managers can now create, view and manage Tasks directly from the Manager Portal, making it easier to manage their responsibilities and keep course admin & bookings on track!

Tasks are now available to Managers, giving them a structured way to manage their own to-do lists as well as action Tasks assigned to them by Administrators.

New ‘Tasks’ menu option for Managers

Managers can access their ‘Tasks’ page from the main menu, in here they’ll see Tasks assigned specifically to them. They can also create new Tasks for themselves, adding the details they need. Common tasks that managers need to complete include:

  • Rebook a Delegate after sickness cancellation

  • Confirm a replacement Delegate for course

  • Assign Delegates to a Placeholder booking

  • Share Course certificates with Delegates

  • Check expiring compliance awards

  • Chase outstanding course feedback

As Administrators, you can also assign Tasks to Managers! Those Tasks will appear in the Manager’s Task list, and any automated emails you have set up to alert people about Tasks will send.

Managers can create, edit, preview, clone, and manage their own Tasks, while Administrators retain oversight of Tasks through the existing Admin functionality.

Why use Tasks in the Manager Portal?

  • Give Managers a central place to see and action their course management activities

  • Reduce reliance on emails and other out-of-platform communications

  • Make it easier for Administrators to delegate work to customer Managers, e.g. re-bookings / filling placeholder places

Managers can control their employee’s statuses

Managers can now update a User’s status between ‘Active’ and ‘Inactive’, this means they can keep User records accurate without needing Administrator intervention!

Managers can now edit the ‘Status’ of Users from the User DataGrid in the Manager Portal. This allows them to mark Users as ‘Active’ when they join an organisation or ‘Inactive’ when they leave.

Editing a User’s status as a manager

Managers can update the ‘Status’ by editing a User and scrolling to the Employment section, they can also update it by using the ‘Quick Edit’ option in their Users DataGrid.

Using the DataGrid ‘Quick Edit’ to update a User’s status

Managers can also filter their Users by Status, this makes it easier for them to find the relevant Users when assigning Users to Placeholder places, and when managing User records. For this, they would use the filter: [Status] - [In In] - [Active]

Top tip!

In our last release, we introduced the ability to share DataGrid filters with Managers, this means you can create this filter for Managers and share it with them.

Schedule overnight Course sessions

Your Class and Web Sessions can now run across midnight, allowing you to accurately schedule courses where the end time falls on the following day.

Previously, when setting up Course Sessions, the End Time had to be later than the Start Time. This meant overnight sessions (e.g. a course starting at 10pm and finishing at 4am) could not be scheduled correctly.

The End Time restriction has now been removed when you are building a Sessions Plan. You can enter an End Time that is earlier than the Start Time, and the course duration will determine that the session finishes on the following day!

For example, if a session starts at 10pm on 1 July, has a duration of one day and an End Time of 4am, the resulting session will end at 4am on 2 July.

Find linked Courses faster from Opportunities

New course information and direct links in the Opportunities DataGrid make it easier to see and navigate to the Courses associated with an Opportunity.

The Opportunities DataGrid now provides clearer information about the scheduled courses that are linked to each Opportunity, helping Administrators understand exactly which course an Opportunity relates to.

There are two new columns available:

  • Course Date IDs
This displays the IDs of the scheduled Courses linked to this Opportunity

  • Course or Alias Name
This displays either the Course Template Name or the Override Alias of the linked Courses

Both of these new columns can be clicked to access more information about the Courses!

This means you can now identify the Courses associated with an Opportunity and navigate directly to them from that DataGrid, without having manually locate the Course from the calendar.
