What's new: August 2026

This platform update includes some major improvements to the Manager Portal, and an important update to Exchange Integration for trainer calendars.

Manage all your Scheduled Courses from one DataGrid

There is now a brand-new Courses DataGrid where you can view, search for, and manage all your scheduled Class and Web Courses from one place!

Previously, Class and Web Courses were always managed from separate DataGrids. You can now view and manage both Course types together, this means you have a single place to find and work with your scheduled Courses.

View & report on Class & Web Courses together

The new Courses DataGrid brings your scheduled Classroom and Webinar Courses together, making it easier to search, filter, and manage Courses regardless of how they are being delivered. This is ideal for any admin and reporting tasks where you need visibility of both Class and Web Courses in one place. Here are a few examples:

  • View all upcoming Courses for a Trainer

Quickly find all scheduled Courses a Trainer is delivering, whether they are Classroom or Webinar Courses, without needing to check separate DataGrids

Filtering the DataGrid to see all Courses assigned to Trainer 'Ellie'
  • Manage Courses across different delivery methods

Use filters, searches, and Bulk Edit to find and update Class & Web Courses in one go!

  • Review all Courses for a Customer Account

Quickly see all scheduled Class and Web Courses set to be Exclusive to a specific Customer Account, making it easier to review their upcoming and/or historical training activity

You can find the new Class & Web Courses DataGrid below the existing Class and Web Course options in your platform's main menu:

At the top of the DataGrid is an ‘Add Class Course' button, but if you click the drop-down arrow to the right of the button, you can also ‘Add Web Course’ directly from the grid.

Manager Portal Updates

At accessplanit we know that your managers are often your key contacts when it comes to keeping customer training on track: they book delegates, check who's attending what, monitor expiry dates, and keep people's details up to date.

Giving them direct access to the Manager Portal means they can do all of this themselves, without waiting on you or calling you to do something they could do themselves in a couple of clicks.

However, that only works if the portal is easy to use, clearly labelled, and only shows managers what's relevant to them. These updates are all about tightening up that experience so that it is easier for your managers to self-serve.

Consistent labelling of the Manager Portal

We’ve standardised the terminology used to describe the Manager Portal.

We've renamed 'Manager Access' to 'Manager Portal' to bring it in line with the rest of the platform, and updated the switch options to match.

'Switch to Manager Mode' is now 'Go to Manager Portal', and 'Switch to Portal' is now 'Go to Learner Portal'.

This is a small change, but it means we all understand what we mean when we talk about the manager portal!

Managers can manage their own Delegates

One less thing for your team to handle! Managers can view their Delegates per Course and handle swaps themselves.

Previously, if a manager wanted to know who they'd booked onto a course, they had to dig through the Delegates DataGrid and apply filters.. or ask you! Now they can right-click any Course in the Course List and select ‘Delegates' to instantly see everyone booked onto that specific Course date, filtered to just the people they manage. From there, they can right-click a Delegate to access further actions, such as ‘Preview’ and 'Download Certificate’.

The new option in the ‘View Dates’ page to view the Delegates per Course

We've also extended 'Change Delegate' to the Manager Portal. If a manager has booked the wrong person onto a Course, they can now swap them out themselves rather than asking your team to cancel and rebook!

The ‘Change Delegate’ window that managers can now use, to swap assigned Delegates on a Course

Please note

Managers can only change Delegates for Courses that haven’t started yet. If the course start date has already passed, the option to change the delegate won’t be available!

We’d love to hear your feedback on whether you’d find additional validation useful for controlling when managers can change delegates. For example, you may want to prevent a manager from changing a Delegate if their status on the Course is ‘Cancelled’.

Please submit your ideas here

If you’d prefer not to allow managers to change Delegates at all, we can disable this feature for you. Just let a member of the accessplanit team know.

Administrator help removed for Managers

Managers are no longer directed to the Administrator help materials

The 'Help' option in the Manager Portal previously linked to accessplanit's own knowledge base and support portal, these are resources meant for you and your team, not your customers' managers!

We've removed it from the top navigation bar entirely, leaving just Basket and Profile. This keeps the portal focused on what managers actually need, and keeps our internal support channels reserved for you.

Keep an eye out in our next update for some dedicated help coming for managers!

Share DataGrid filters with Managers

Share a filter once from an admin account, instead of building it for every manager individually!

Until now, setting a manager up with a useful filter meant impersonating them and building it from scratch! Then repeat this for every manager who needed it.

Now you can share filters straight from your own admin account to any manager, the same way you already share them with other admins.

Sharing 4 DataGrid filters with 3 Manager Users

To share a filter with a manager:

  1. Open the relevant Manager DataGrid, e.g. ‘Course List’, or ‘All Delegates’

  2. Create or find the filters you’d like to share

  3. Click the ‘Filters’ button on the right of the DataGrid and open the ‘Share Filters’ option

    image-20260727-124759.png
  4. Select which filters to share, and which users to share them with

Once you have shared, the filters are read-only for managers, so you can stay in control of what's shared, but you'll only need to build it once!

Managers can keep their team's job titles current

One less field your team needs to update on a manager's behalf!

The Job Title field (previously editable only by admins) is now visible and editable by managers too!

Managers will find ‘Job Title’ under the Employment section of a user's profile, alongside the existing Job Role field.

Job Title is also a sortable, filterable column in their Users DataGrid, making it a great option for finding employees in there quickly!

Administrator platform updates

Exchange Calendar integration upgrade to Microsoft Graph

We've upgraded the Exchange Calendar Integration to use Microsoft Graph, Microsoft's modern API for connecting with Exchange Online and Microsoft 365.

Microsoft has announced that Exchange Web Services (the technology our integration previously used) will be retired for Exchange Online on 1st October 2026. To make sure your integration continues to work without interruption, we've migrated to Microsoft Graph ahead of this deadline.

If you are currently using the calendar integration for your trainers - Integrate your Trainers' schedules with Exchange Calendar, there are a few changes you’ll need to make ahead of October.

  • Your Azure App Registration will need to be updated
Your IT team will need to add the new Microsoft Graph permissions to your existing Azure App Registration.

  • You'll need to select ‘Microsoft Graph’ in your Exchange Integration settings
Once your IT team has updated the Azure permissions, an accessplanit administrator can switch to Microsoft Graph from the Administration > Exchange Calendar Integration settings page in your accessplanit platform.

Please note - OAuth 2.0 is required
Microsoft Graph only supports OAuth 2.0 authentication. If you are currently using Basic Authentication (on-premise Exchange) this change does not apply to you, your setup remains unchanged for now.

We recommend switching to Microsoft Graph as soon as possible, and no later than 1st October 2026. After that date, EWS will stop working for Exchange Online customers. If you need help making the switch, please contact our support team.

Improve Stripe payment reconciliation with richer transaction descriptions

Organisations using Stripe can now benefit from significantly more detailed payment descriptions.

We have significantly improved the information that is passed to Stripe whenever a Checkout payment is processed! The payment description now includes additional information:

  • Account ID

  • User ID

  • Course, Product and Service labels

  • Course Start Dates

  • Course End Dates

  • Applied Discount Names (where relevant)

For finance teams and administrators, this makes it easier to:

  • Identify transactions quickly

  • Match payments to invoices

  • Understand what was purchased

  • Reconcile payments and discount activity
