Integrate your customers and opportunities with Salesforce
Connect Salesforce with your accessplanit platform to keep your sales and training operations aligned!
The new integration between accessplanit & Salesforce automatically syncs your customers and Opportunities between the two systems, giving your Training team visibility of the enquiries your Sales team is managing, and your Sales team visibility of what Course offerings are available!
Read more about the integration here:Integrate your customers and Opportunities with Salesforce
Please note
accessplanit’s Salesforce integration is an additional, chargeable module. Please speak to your Customer Success Manager to see if this is already included within your accessplanit package or to find out more information!
📍View a complete view of Venue information from the Class Course DataGrid
Get Venue information without leaving the Courses DataGrid! The Class Course DataGrid can now display a much wider range of Venue information.
Previously, only the Venue ID and Venue Label were available from your Class Courses DataGrid. 11 new Venue fields are now available to include in your Class Course DataGrid Views:
Venue Alias
Venue Address
Venue County
Venue Town
Venue Country
Venue Postcode
Venue Main Contact
Venue Phone
Venue Email
Venue Capacity
Venue Website
These Venue fields can be added to custom DataGrid Views and are fully filterable and sortable! This makes it easy to:
Find Courses taking place in a specific location
Review Venue contact information without opening the Venue record
Please note
The new fields are optional and won't appear in existing DataGrid Views unless you choose to add them.
Include Venue Website Information in Delegate Workflows
The ‘Venue Website’ field can now be used throughout your Delegate-based communications.
If you store helpful venue information, maps, directions, or visitor guidance directly on your Venue Website, you can now include a link to this within your Delegate emails. Until now, the 'Venue Website' field was not available to share with Delegates through Workflows / Email Templates. However, it has been made available to include in Delegate emails for both the Delegate and Class Delegate modules.
This means you can now include a direct link the relevant webpage about the Venue within your booking and reminder emails, helping your Delegates access important location information before attending their course.
To add a link to the venue website into your emails:
Open your Email Template (must use the module ‘Class Delegate’)
Type out your link text, e.g. ‘Read more about the venue’
Highlight your text and click to convert it into a link
In the ‘To what URL should this link go?’ textbox add @@VenueWebsite
Please note
Only the ‘Venue Website’ field has been made available for emails. The administrator-only 'Venue URL’ field remains internal and is not available.
Find Web Courses missing webinar joining details
Quickly identify Web Courses where Trainer or Delegate webinar details haven't been populated!
You can now filter the Web Courses DataGrid to find Courses where webinar details are missing for either Trainers or Delegates.
To do this:
Open the Web Courses DataGrid
Add a filter with two conditions:
[Trainer Webinar Details] - [Is Empty]
[Delegate Webinar Details] - [Is Empty]
Then change the “Where the results meet” toggle option to ANYApply the filter view webinar courses missing either the Trainer or Delegate webinar details!
Find Delegates on specific Sessional Courses
Quickly locate every delegate booked onto a sessional course, making reporting and administration much faster.
The Delegates DataGrid can now be filtered by Parent Course ID! This means you can find all the Delegates registered for a specific Sessional Course (across all the sessions!).
To use this new option:
Copy the ID of the parent (Sessional) Course
Open the Delegates DataGrid
Add a filter for [Parent Course ID] - [Equal To] - [paste the Parent Course ID in]
Apply the filter to view all Delegates across the Sessions of your selected Sessional Course
This is especially useful for reporting, communication, and managing Delegates across your multi-session Courses!
Custom Fields can no longer be used to store passwords
To help improve security practices, administrators are now prevented from creating Custom Fields that contain the word "password" or common variations of it.
We’ve implemented this to discourage the storage of sensitive credentials within plain text fields in your platform!
If you try to create a new Custom Field which contains the word ‘password’ or a variation of this, you’ll get an error before you try to save:
Improved Dashboard Gadget picker
We've refreshed the add Dashboard Gadget window to make it quicker and easier to find the gadget you need.
We’ve updated the pop-up where you choose your new gadget to be a cleaner, more modern design that's easier to navigate!
The most commonly used gadgets are now displayed at the top for faster access, and helpful descriptions are available for every gadget type, making it easier to understand what each one is used for before adding it to your dashboard.
Take secure telephone card payments with WorldPay MOTO
Accept secure card payments over the phone using WorldPay MOTO, without requiring customers to complete 3D Secure authentication.
When a customer has been invoiced for their booking, and later calls to pay by card, Administrators can now process the payment directly using WorldPay MOTO (Mail Order/Telephone Order).
MOTO means administrators are not required to provide or complete a 3D Secure verification.
To take a payment:
Open the relevant Invoice
Right-click the Invoice and select 'Make Payment' from the context menu options
Choose ‘WorldPay MOTO’ as the payment method
Select Make Payment to launch the WorldPay payment window
Enter the customer's card details while speaking with them over the phone
Complete the transaction
Once the payment is authorised, the invoice will automatically update to ‘Completed’ if the full payment has been processed.
This provides a secure and compliant way for contact centre teams to process telephone payments without requiring customers to provide or complete a 3D Secure verification code.
