New features
Clone Dashboard & Report gadgets in seconds
Creating similar gadgets no longer means starting from scratch! You can now clone existing Dashboard and Report Engine gadgets, making it faster to build reports, create variations, and reuse your existing work.
Whether you're refining a Dashboard, creating different views of the same data, or building a report to compare stats, you can now use Clone your gadgets to create an immediate copy, ready to be refined!
When cloning a gadget, you'll be able to:
Rename the cloned gadget before it is created
Clone within the same Dashboard Area or Report
Clone to another Dashboard Area or Report that you own
The cloned gadget will be added to the bottom of the selected Dashboard Area or Report, allowing you to make any adjustments you need without affecting the original!
The new Clone option is available for:
Personal Dashboard Areas
Shared Dashboard Areas
Report Engine Reports
This update is perfect for administrators who regularly build reporting variations and want to save time configuring gadgets from scratch!
Azure Maps Integration
Send venue map links to your trainers and Delegates with the new Azure Maps integration.
Following the retirement of the Bing Maps integration, the platform now integrates with Azure Maps to support you sending venue map links to your Delegates and Trainers within their booking and reminder emails!
The integration works by automatically populating Venue longitude and latitude values, it retrieves these based on the Venue address information you enter into your platform.
The longitude and latitude values will automatically update when:
A new Venue is created
A Venue Address is updated
A Venue Town is updated
A Venue Country is updated
A Venue Postcode is updated
When these options are populated for your venues, it means any Maps Links included in your emails will successful include a map link to the venue!

To add this into your Email Templates, either
Add the merge field ‘Venue Map URL’
Or type your link text, such as ‘Click for the venue map’ and create it as a link with the URL set to @@VenueMapUrl
Add your own Rich Text Custom Fields
Custom Fields are now more flexible than ever with the introduction of the new Rich Text field type.
Until now, Custom Fields could only store plain text. The new Rich Text option allows you to use the full platform text editor, making it possible to store formatted content, images, links, tables, and HTML directly within Custom Fields.
This opens up a range of new possibilities, including:
Course-based Custom Fields to store pre and post course reading and exercises, use merge fields to include these in your automated emails
Resource-based Custom Fields to store trainer biographies with formatting and images, use the API feeds to pull these into your website
Capture additional rich-text fields for your Courses; such as agendas, certification information, assessment instructions, learning outcomes, and trainer travel information.
When creating a Custom Field, simply select ‘Rich Text’ as the field type to get access to the full rich text options for this field.
Good to know:
Rich Text Custom Fields can be imported, although formatting is not included during import
When displayed in a DataGrid, HTML formatting will be removed and only the plain text content will be shown
Depending on the content, when the Custom Field is shown in a DataGrid - it may appear empty if it only contains formatting or images
This new Custom Field type gives you much more flexibility for storing and managing content throughout your platform!
👥Allow customers to book up to the remaining spaces available
Remove booking limitations and make it easier for customers to secure all the places they need in a single transaction.
A new Checkout setting now allows you to let customers book up to the total number of remaining spaces available on a course, rather than being restricted to the standard limit of 20 places.
If you enable this option, your customers can select any quantity up to the number of spaces remaining on the Course they are booking, this is especially useful for large corporate bookings and high-capacity Web Courses!
To enable this functionality:
Open the ‘Checkout Options’ page from the Administration menu
Scroll down to the new ‘Allow customers to book up to the remaining spaces’ setting
Check the checkbox & save!
When this option is in place, your customers will be able to select the maximum available quantity from the Qty/Places dropdown box in your basket. If the setting remains disabled, the current limit of 20 places will continue to apply.
Configure booking limits for your eLearning & Knowledge Document Courses
Increase or decrease the number of eLearning & Document Delegates that can be registered at one time.
Previously, Checkout enforced a fixed limit of 20 Delegates for eLearning and Knowledge Document Courses. The new Maximum eLearning & Knowledge Document Quantity setting allows you to define a limit that better suits your requirements.
To configure your booking limit:
Open the ‘Checkout Options’ page from the Administration menu
Scroll down to the new ‘Maximum eLearning & Knowledge Document Quantity’ setting
Enter the maximum number of Delegates that can be registered in a single booking (per Course) and save your changes
Good to know:
If left blank, the existing limit of 20 Delegates will continue to apply
Enter a lower value to reduce the limit
Enter a higher value to support larger purchases
There is no enforced upper limit
Enhancements
Stripe payment information now uses richer transaction descriptions
If you are using Stripe as your payment gateway, you will now benefit from significantly more detailed payment descriptions.
We have significantly improved the information that is passed to Stripe whenever a Checkout payment is processed! The payment description now includes additional information:
Account ID
User ID
Course, Product & Service labels
Course Start Dates
Course End Dates
Applied Discount Names (where relevant)
For finance teams and administrators, this makes it much easier to identify transactions quickly, match payments to invoices, understand what was purchased, and reconcile payments and discount activity!
More options are available for Task-generating Workflows
Creating Task actions within Workflows is now quicker and requires fewer clicks.
Workflows are not only used to automate emails sending from your accessplanit platform, they can also be used to automate tasks being created and assigned to your team.
For example, when a Course is cancelled a Task can be automatically created for a specific person to notify the Venue.
Within this update, we have made the process of creating Workflow Task Actions easier! When adding a new Task action to a Workflow, the most commonly used task fields will now be included automatically:
Start Date
Due Date
Assigned To
Detail
These options are still optional, so you can still be remove them or leave them blank if they are not needed for your Task.
Preview Email Templates directly from the DataGrid
Email Template previews now provide a much more useful experience directly from the DataGrid.
The preview option for Email Templates has now been upgraded to ‘Preview and Test', instead of showing a preview of the email’s HTML, this option now launches the Test window where you can see how your email will look when it sends!
When selected, the familiar Preview & Test window will open, allowing you to:
Select a test record
Preview merge field values
Review formatting and branding
See the email to yourself, to view it as the recipient will receive it
This update makes it much easier to validate your communications without needing to open and edit the Email Template first!
Opayo payment gateway update
We have updated our Opayo integration to alight with PCI compliance.
To support updated PCI compliance requirements from Opayo, the platform has been updated to use the latest Opayo JavaScript library.
This change replaces the previous:
sagepay.js
with the new:
opayo-1.2.40.js
The update also supports Opayo’s newer script naming conventions and future version management improvements.
This enhancement make sure that we remain compatible with Opayo’s services, we have improved payment security compliance, and the integration is future-proofed for any future Opayo script updates!
📅Let Delegates record their own date of birth
Allow your customers to manage their own Date of Birth information directly from the Learner Portal.
Users with the ‘Individual’ role can now add or update their Date of Birth directly within the Learner Portal using a new Personal Information section within My Details.
The new Date of Birth field is optional, and it can also be disabled on request if it is not required by your organisation, just get in touch with a member of the accessplanit team if you would like this to be hidden from your Learner Portal.
Bug fixes
Accurate task counts
The overdue task indicator in the platform header now correctly displays the true number of overdue tasks.
Previously, the red notification badge for Tasks at the top of the platform could become capped at five, this meant admins with larger numbers of overdue actions weren't seeing an accurate count!
The badge will now correctly display all overdue tasks that are ‘Not Started’ or ‘In Progress’ and have a Due Date that has already passed.
Cookie consent preferences now remain saved correctly
We've resolved an issue that could cause the cookie consent banner to reappear even after a user had already accepted cookies.
The Cookies banner has been displaying more frequently than necessary, however following this update the affected consent cookies will now correctly persist for the full intended twelve-month period following acceptance.
This make sure that users aren't repeatedly prompted for consent and provides a smoother browsing experience across Checkout and Learner-facing areas!
Password guidance now displays correctly during Checkout registration
New users registering through Checkout will once again see password requirement guidance when creating an account.
Previously, if a platform was using the default password policy and had never customised its password settings, the password help text would not appear during registration.
The password guidance now displays correctly regardless of whether the password policy has been customised, helping users create compliant passwords and reducing registration frustration.
Ctrl + S now saves changes within all forms
The keyboard shortcut to save when you are editing is now in place on the Registration Form Builder & the Manage Booking Form Builder.
Both the ‘Manage Booking Form Builder’ and ‘Registration Form Builder' pages have been updated to support Ctrl + S as a keyboard shortcut for saving changes on the page!
Summary Gadgets now respect Report Filters by default
Summary Gadgets will now behave consistently with other Report Engine gadget types.
Previously, newly created Summary Gadgets did not have the ‘Use Report Filters’ option assigned by default, unlike the Statistic and DataGrid Gadgets.
Following this update, new Summary Gadgets will now have this option selected by default! This makes sure they immediately align with any filters you have configured on your report.
Existing reports are unaffected by this change, so there will not be any unexpected impact on your established reports.
