Our AI advisor, Juno, is built to help you get answers quickly and confidently while using the platform. It can guide you through features, explain how things work, and point you in the right direction when you’re unsure of the next step!
To ensure Juno is used safely, responsibly, and in line with data protection and compliance requirements, it’s important to understand both what the advisor can help with and how to use it appropriately. This article outlines best practices for using Juno, including some helpful tips, and an outline of what information should not be shared.

What is Juno?
Juno is your new in-platform advisor, designed to make help and guidance easier to access right whenever you need it. Whether you want to find out how a feature works, locate a specific setting, or get step-by-step instructions, the advisor is here to help!
You can ask questions like:
“How can I report on my top used Resources?”
“Where can I view Delegate attendance?”
“Tell me how to email a Trainer.”
Juno uses AI to understand your queries and provide tailored responses based on our knowledge base. While it’s designed to help you find quick answers, it’s not a replacement for our Support Team.
Please note
Because it’s still learning, Juno might occasionally get things wrong. If you’re unsure about a response or believe it’s incorrect, please give it a thumbs down and contact our Support Team as you normally would. At the moment, you’ll need to update the team on your query, but in the future, we plan to connect your Juno chats directly to your support conversations so you won’t need to repeat yourself!
How to use the AI Advisor
Click the AI Advisor icon from the bottom right of your platform
Type your question or describe what you’re trying to do, the same way you would talk to a person
Juno will provide relevant information or direct you to the right resource!
If you get a good response, please give it a thumbs up!
If you get a bad or inaccurate response, please give it a thumbs down!
All of this will help us to improve the bot!
Top Tip!
The more detail you include in your question, the more precise the response will be.
If Juno does not give you what you need, you can get in touch with our support team via the usual channels!
What not to do when using the AI advisor
1. Don’t share personal or sensitive information
The AI advisor is designed to help with platform guidance, not to process personal data.
Avoid including:
Personal data (e.g. names, home addresses, phone numbers, email addresses)
Payment details (e.g. credit/debit card numbers, bank details)
National identifiers (e.g. NI numbers, passport details)
Login credentials or passwords
2. Don’t enter confidential or commercially sensitive information
To protect your organisation and your customers, do not share:
Contract details or pricing agreements
Internal financial data
Customer lists or reports
Internal policies not intended for public sharing
Use scenarios, or anonymised / hypothetical examples when asking for help.
3. Don’t rely on the AI advisor for final decisions
The AI advisor provides guidance and suggestions, but it shouldn’t be treated as a definitive source.
Always apply your own judgement and follow your internal approval processes.
4. Don’t expect the AI can take actions in your platform
The AI advisor can explain how to do things, but it cannot:
Make changes to your data
Create, update, or delete records
Send emails or trigger workflows on your behalf
You’ll always need to carry out actions yourself in the platform.
5. Don’t paste large data exports or reports
The AI advisor isn’t designed to analyse or validate large datasets.
Avoid pasting:
Full reports or exports
Large tables of customer or delegate data
If you need help understanding a report, describe what you’re trying to achieve instead.
6. Don’t try to ‘test’ the AI with inappropriate content
For security and compliance reasons, the AI advisor should not be used for:
Offensive, discriminatory, or inappropriate language
Attempting to bypass platform rules or safeguards
FAQs
Will all admins be able to access the AI advisor?
Yes, however if you would like to have the a week first for your Super Admins to access Juno only, we can arrange this.
Why is the AI Advisor not responding to me?
Please check that you have an email address linked to your user in accessplanit, this is required for the AI Advisor to work.
Can we opt out? We do not want our administrators to follow accessplanit best practice guidance as we have our own.
No Juno is a standard part of the platform to support you.
Where you already have an agreement in place for only certain roles (for example, Super Administrators) to use our Support team and Knowledge Base, we may be able to limit access to the AI assistant to those administrators only. Please reach out to a member of our team to find out more information about this.
Do I need to install anything?
No installation is required, the AI advisor is built into your platform!
Is the AI advisor free to use?
Yes the advisor is a new level of support available for your team to use, free of charge with no limits.
Does the advisor replace access to the support desk?
It does not replace our team! Stuart, Sarah, Sean and Dan will still be on hand via the usual methods on our support desk!
What do I do if the advisor answers incorrectly?
Please use the thumbs down icon to let us know! We can then fix this so that it answers correctly next time. In the meantime, raise your query with the accessplanit support team, you can contact them via phone or using our support portal.
Will my data be secure?
Yes, the AI advisor complies with our existing platform security standards. It also does not share any of your platform data outside of accessplanit.
Are there rules I need to follow when using AI advisor?
Yes, use of all AI features in accessplanit is subject to our AI Terms of Use. You can review them here: https://www.accessplanit.com/ai-terms-of-use
Can the AI advisor be repositioned if it is in the way?
Yes! If Juno’s icon is in the way, you can click on the 6 dots on the left of the advisor and drag it to move it to a different place on your page.
Will Juno replace accessplanit’s support team?
No, Juno isn't here to replace our support team, it’s here to help you get answers faster while allowing our experts to focus on what they do best.
We’ve introduced Juno, our AI support advisor, to improve the speed and flexibility of support, not to reduce the people behind it.
Juno is designed to help with quick, straightforward questions and to provide helpful answers outside of core support hours. This means you can often get what you need faster, without waiting for a ticket response. This is especially helpful for common 'How do I…?' queries.
Our human support team isn’t going anywhere, we’re expecting their role to become more valuable. Over time, Juno will take care of the quick-fire questions, allowing our support advisors to focus more on:
Complex or nuanced queries
Consultative support and problem-solving
Helping you get the most value from the platform
Working closely with you on real-world use cases that may stray from our standard recommended ways of working
We know that not everyone learns best through traditional support tickets. Juno offers another way to get help that’s immediate, conversational, and available whenever it suits you. The result is a faster, more flexible support experience for you, and a more focused, rewarding role for our support team.
If at any point you’d prefer to speak to a member of our support team, they’ll still be there, just as they always have been.
