DataGrid, Filter and Views Issues - Troubleshooting

If you’re experiencing problems when managing DataGrid, views and Filters, then you’re in the right place! This guide walks you through the most common DataGrid, views and filter-related issues and questions and how to resolve them!

Filters

Last or Next time period filter not showing today/ working properly

Please note that the Last and Next filters do not include the current time period. This may explain why certain results are not appearing in your filtered view.

For example, consider a Course with a Start Date of 25/06/2023, viewed on 20/06/2023. Although 25/06/2023 might seem to fall in the upcoming week, the system considers it part of “This Week” (ending Sunday). Therefore, when you apply the “Next Week” filter, this result will not be displayed, as it technically belongs to the current week.

It’s important to note that filter names are interpreted literally. For instance, “Next Week” does not mean “the next seven days from today,” but rather refers specifically to the calendar week following the current one.

Similarly, for a filter such as “Next 3 Months”, a date like 25/06/2023 would fall within This Month, not within the Next 3 Months (which would be July, August, and September).


Error when trying to save a filter

The issue may occur if you are attempting to search a numeric-only field (such as Invoice ID) using text-based input (for example, “INV014238”). Since this field only accepts numeric values, the Platform cannot process alphanumeric or text entries.

To resolve this, please adjust the filter criteria to match the field’s data type — for instance, searching by the numeric portion of the ID or selecting a field that supports text-based input.

For example 'INV014238' would be a numerical field '12345'

All/Any Filter Logic

Any/All DataGrid Filters, allow you to build filters that treat their rules/conditions as an ‘Or’ rather than an ‘And’.

For example:

  • When applying the above filter with an ‘Any’ option set, Courses will show if they do not have a Venue OR they do not have a Trainer.

  • When applying the above filter with an ‘All’ option set, Courses will show if they do not have a Venue AND they do not have a Trainer.

This is not yet available in Workflows or Dashboard Gadgets, please submit a product suggestion to our Product Team for consideration

Search

Searching for a label in a DataGrid brings back no results?

Using Global Search

This issue may occur if the text being searched was copied and pasted without first converting it to plain text. In such cases, hidden or special formatting characters may be included, preventing the Platform from finding any matching results.

To avoid this, try pasting the text as ‘plain text’ or ‘manually typing it in’ rather than copying it directly from its original source.

When searching for Categories against records, e.g. Course Templates, it's not possible to search for 'contains'/'is in' for multiple/combinations of Categories

Categories Overview

The ‘Contains’ filter functions as expected when applied to a single category at a time. However, when multiple filter criteria are added simultaneously — for example, attempting to retrieve results that match several categories at once — the Platform may be unable to process the query effectively.

As a result, the system may return no results or, in some cases, time out due to the increased complexity of the search operation.


Views

Unable to save new view in DataGrid

If you are receiving an error when trying to save a DataGrid views, check that the number of columns listed within the view.

Reduce the number of columns listed and only save columns required.


Bulk Edit

I want to bulk update a field but it isn't available in the Bulk Edit options

I want to bulk edit a field so that it is blank but its not allowing me to do so

Bulk Edit information

  • Check if the field is a ‘Mandatory’ field

If the field is a ‘Mandatory’ field, it will not allow you to update the field to be blank.

You can check if a field is ‘mandatory’ by checking the field within the configuration form/within the relevant form.

You will know if a field is mandatory as it will have an asterisk against it '*'

To check it within the ‘Configuration form’, click the ‘configuration form’ button in the top right hand corner of the relevant form (please note, not all forms have 'configuration forms')

Check to see if the ‘Mandatory’ field is ticked next to the relevant field

  1. If the mandatory checkbox is greyed out, this indicates that the field cannot be edited.

  2. If the mandatory checkbox displays a blue tick, the field is editable. In this case, you can untick the checkbox to remove the mandatory requirement. Once the field is no longer mandatory, you can attempt Bulk Editing to clear or update the field as needed.

Bulk Edit information

The Bulk Edit feature is not compatible with Rich Text fields that utilise HTML formatting. Attempting to edit such fields in bulk may result in errors or unexpected behaviour.

To update content in Rich Text fields, it is recommended that you copy and paste your content directly into the code view. Please note that this process must be performed individually for each entry, as bulk updates are not supported for HTML-based Rich Text content.


Export

Error when trying to export the Opportunities DataGrid into excel

Excel imposes a maximum character limit of 32,767 per cell. Consequently, if you attempt to export a DataGrid containing a cell that exceeds this limit, the export process will result in an error.

In most cases, the Description field of an Opportunity is the area most likely to exceed this character limit, due to the volume of text it can contain. Check the data you are trying to Export and, if necessary, reduce the content in this field before attempting to export to Excel.

Export data from a DataGrid

When exporting data from the DataGrid, using the period (.) symbol in the file name (for example, 28.06.2025) is not permitted. The system interprets the period as part of the file extension, which can result in the exported file becoming corrupted.

To avoid this issue, it is recommended to replace periods with alternative characters such as hyphens (_) or underscores (_) when naming your exported files.


General

Audit Logs User ID, User Forenames, User Surname is empty. Booker ID is not being populated

Platform Events Log Overview

When a booking is created, the ‘Booker ID’ may not appear in the audit trail for the Delegate.

Specifically, if a Class or Course Delegate’s Audit Logs show no User ID, Forenames, or Surname, this indicates that the action (adding the Delegate to the Course) was performed via Checkout, rather than manually. In such cases, there is no user ID associated with the action because it was processed automatically by the Platform.

It’s important to note that Checkout does not attach the basket creator’s User ID to Platform events, which is why the audit trail for these actions will appear blank.
