How To: Create and Manage Products and Services

 

How to access Products and Services

  1. Open the Administration menu at the top right hand side of accessplanit.




  2. Select Custom List Items and click Add.

  3. From Item Type drop down list select Product Type.


     

  4. Enter the name of the Product or Service Type that you are adding and check the Enabled tick box. For further information on Custom List Items click here.

  5. Click Save and Close.

  6. Open Products and Services on the left hand menu and click Add.




  7. Fill in the Details with your Product or Service by selecting the Training Provider it belongs to, giving it a Label and by selecting a Type.



  8. Fill in the Costing Details for your Product or Service that are applicable, in this section you can create:

    Cost Per Unit - this is the price of the Product or Service.
    Tax Exclusive - this checkbox determines if the Product or Service is tax exclusive or inclusive.
    Tax Code - this field is used for the tax code that relates to this Product or Service.
    Cost Centre - this field is used to label what part of your organisation this Product or Service belongs to for accounting purposes.

  9. Fill in the Other section if and when applicable, in this section you can determine:

    Unlimited Stock - if this checkbox is selected, the next option of stock level will be removed and this Product or Service will never run out, this option updates automatically following any purchases of this Product or Service.
    Stock Level - this is a numeric value of the amount of stock available for this Product or Service, this option won't be available if Unlimited Stock is selected.
    User Is Mandatory For Purchases - this option determines if this Product or Service requires a user to be purchased. For example an accredited certificate would need an assigned user, whereas a textbook may not.. 

    If User Is Mandatory For Purchases is not selected, a Product and Service will not be available to transfer if a delegate is transferred from one course to another. 
  10. Fill in the description of your Product or Service if required. 

  11. Click Save

      

How to edit the details of any existing products or services

  1. Open Products and Services on the left hand menu.




  2. Right click on the Product or Service that you are wanting to edit the details of.


     



  3. Select Edit from the context menu.




    Edit or update any parts of the Product or Service that you would like to amend.

  4. Click Save.

How to delete products and services that are not tied to an existing booking/purchase

  1. Open Products and Services on the left hand menu.




    Right click on the Product or Service that you are want to delete.


     

  2. Right click on the Product or Service that you want to delete and select Delete.


  3. On the confirmation pop up click Yes.
