Learn how to enable partial payments

Enabling partial payments in your basket allows customers to pay a deposit for their courses rather than the full cost upfront. This gives them more flexibility in how they pay and makes it easier to spread the cost over time. Setting up partial payments ensures you can still secure bookings while giving customers a more accessible way to make their bookings and manage their budgets!

Enable Partial Payments

The steps below will show you how to enable Partial Payments within your Course Templates & Courses

Please note

If you are unsure if you currently have 'Partial Payments' enabled, please contact our Support Team for guidance.

Enable Partial Payments for a Course Template

  1. Click ‘Course Templates’ within the Main Navigation Menu

  2. This will open the Course Templates DataGrid

  3. Using the search bar/filters, search for the Course Template you want to enable Partial Payments for
    You can search by Course Template Name, Course Template ID or apply a filter

  4. Right-click the Course Template and select ‘Edit’ from the Context Menu

  5. This will open the Course Template Details page

  6. Scroll down until you reach the ‘Cost’ section

  7. Enter a ‘Partial Payment Unit', this is the amount that will need to be paid up front
    This can either be a fixed amount, for example £80, or it can be a percentage amount, for example 50% of the course cost

  8. Select the 'Partial Payment Unit Type' (e.g. Fixed or Percentage)

  9. Press the 'Save' button in the top right-hand corner
    This will ensure that Courses that are scheduled after this point using this Template will have the partial payment options

Enable Partial Payments on scheduled Courses

  1. To update any existing scheduled Courses, navigate to the Class or Web Courses DataGrid from the Main Navigation Menu

  2. This will open the corresponding DataGrid

  3. Apply a filter to find all the Courses that you would like to enable Partial Payments for! For example,

    1. Start Date - Period - Future

    2. Course Status - Is In - Available

    3. Course Template ID - Is In - select the Course Template that you have just enabled Partial Payments for

  4. Click ‘Preview’ to apply your filter conditions, if you will use this filter again give it a name and press the ‘Save’ button

  5. Select all and click the 'Bulk Edit' option at the top of the DataGrid

  6. Using the drop-down, Bulk Edit both the ‘Partial Payment’ and ‘Partial Payment Unit’ for these Courses

  7. Press the ‘Save’ button

  8. You will now see that the Partial Payment columns have updated for all of your Courses within the DataGrid

    You may need to add both the Partial Payment Unit column and the Partial Payment Unit Type column to your DataGrid


Test your Partial Payments within Checkout

Once you have created your Partial Payment options, it's always best practice to test and ensure you are happy with the setup before allowing your Delegates to make Partial Payments

  1. From the DataGrid, right-click any one of these Courses and select ‘Add to Basket’ from the Context Menu

  2. When prompted, click the ‘Visit your Basket’ button

  3. Within Checkout, select yourself as the ‘Booking User’ and as the ‘Delegate’

  4. Click the ‘Continue to Payment’ button

  5. Choose any Bill To object and any Billing Address

  6. Select a Payment Type

    Options available may vary

Please note

Partial payment is not supported for Invoice & Credit Note payments

 

  1. Tick the 'Pay a deposit' option and add a deposit amount

  2. Accept the Terms & Conditions by selecting the checkbox

  3. Click the ‘Make Payment’ button to complete the booking, you do not need to complete this step if you are satisfied by the preview in the basket

Top Tip

Once the first payment has been taken, your customers can then make further payments via their portal! Alternatively, most payment gateways allow your administrator team to process payments for your customers over the phone via the Make Payment option


FAQ’s

What can't I make a partial payment using the Invoice payment method?

Invoices are usually used for paying for something at a later date, whereas Partial Payments are paying the Course off in parts.

I have enabled partial payments but the option is not appearing for my Delegate

First check that the specific Course has partial payments enabled, if you have only changed the Course Template then existing/scheduled Courses will not have partial payments enabled.

Next, check the date that the Delegate was added to the Course; if this was before you enabled partial payments, then they will be unable to use this feature. We would recommend removing the Delegate and asking them to rebook for the partial payment feature to become available
