When creating a Trainer, you can grant them access to the ‘Trainer Portal’ area on your Platform. This provides a central portal where they can view all their assigned Courses, download registers, submit attendance, and access related documents—all from one intuitive area. Allow Trainer access to the ‘Trainer Portal’

The Trainer Portal is an area available to Trainers to manage the training aspects of any Courses they have been assigned to! Follow the steps below to allow Trainer Portal access to your Trainers

 

From the Main Navigation Menu, select ‘Resources’ and then ‘Manage’ This will open the Resources DataGrid Using filters and/or search options to search for the Trainer you would like to add My Teaching access to. You can search using their full name or User ID Right-click the Resource & select ‘Edit’ from the context menu This will open the Resource ‘Details’ page Scroll down to the 'Trainer Portal' section Select the tick box for ‘Trainer Portal’ access You will see that by enabling the Trainer Portal Access, it will allow access to all options available, such as: Set Unavailability View Course Notes Edit Course Notes Delete Course Notes Create Course Notes View Survey Submissions Modify Course Status Generate Register Sheet Generate Sign-in Sheet Signatures View Tasks Edit Tasks Delete Tasks Create Tasks View Course & Delegate Files Edit Course & Delegate Files Delete Course & Delegate Files Create Course & Delegate Files Delegate / Placeholder Access Modify Delegate Contact Details Add Delegates to Course Date Modify Delegate Status Details Replace Delegate View Delegate Notes Edit Delegate Notes Delete Delegate Notes Create Delegate Notes Proceed and update the options available for platform access applicable to the Trainer. You can enable and disable the options by ticking or unticking the checkboxes Click the ‘Save’ button in the top right-hand corner

Optional - Check your Trainer's Access

Checking your Trainers' access before informing them of their Trainer Portal is a great way for you to ensure the right level of access has been given. Follow the steps below to Impersonate the Trainer and check that you are happy with the level of access given

 

From the ‘Resource Details’ page, scroll to the ‘Trainer’ section Where it shows the ‘Mapped To’ field, click on the User's name and select ‘Edit User’ This will now open the ‘User Account Information’ Page In the top right-hand corner, click the ‘Actions’ button and select ‘Impersonate User’ from the drop-down menu This will now switch to Impersonation mode and show you the view of the Trainer Portal that the User will see Navigate through each section of the Main Navigation Menu and ensure you are happy with the level of access you have provided in Step 8 above.

FAQs

Do I have to allow them access to their Trainer Portal?

No, this is entirely up to you. If your Training Admins/Super Admins are manually updating the information themselves for your Trainers, then no Trainer Portal Access is required

What if there is an area of the platform I want them to have access to but the option isn't available to select?

If an area of the [latform is not available as an option for the Trainer Portal, then a Product Suggestion would be required. You can follow this link to the accessplanit Product Portal to submit a Product Suggestion

How do I manage permissions for external trainers or providers?

External trainers don't have their own permission set in accessplanit — instead, they can be granted access to the Trainer Portal, which gives them a self-service area to view assigned courses, download registers, submit attendance, and access related documents. You control exactly what they can and can't do by toggling individual permissions. Setting up an External Trainer: From the Main Navigation Menu, select Resources → Manage. Click Add Resource. Select the Account the trainer belongs to, enter their name in the Label field, and choose External Trainer from the dropdown. Enter their Cost and Cost Type (per Delegate, Session, Hour, Day, or Delegate per Day). Set the Quantity (usually 1), choose a Colour for the Resource Calendar, and select their Timezone. Tick the Enabled checkbox so they can be assigned to courses. Enter their contact details (name, email, phone) and linked Account. Click Save. For full steps, see . Enabling and configuring Trainer Portal access: From Resources → Manage, find the trainer and right-click → Edit. Scroll down to the Trainer Portal section. Tick the Trainer Portal checkbox to enable access — this turns on all permissions by default. Customise access by ticking or unticking individual permissions: Course management: View/Edit/Create/Delete Course Notes, Modify Course Status Delegate access: Delegate/Placeholder Access, Modify Delegate Contact Details, Add Delegates to Course Date, Modify Delegate Status, Replace Delegate, View/Edit/Create/Delete Delegate Notes Files & documents: View/Edit/Create/Delete Course & Delegate Files, Generate Register Sheet, Generate Sign-in Sheet Tasks: View/Edit/Create/Delete Tasks Other: Set Unavailability, View Survey Submissions, Signatures Click Save. Verifying a trainer's access: You can impersonate the trainer to check their view before notifying them: From the Resource Details page, find the Mapped To field and click the User's name → Edit User. Click Actions → Impersonate User in the top right corner. Navigate through the Trainer Portal to confirm the access level is correct. Understanding roles: Trainers don't have a dedicated role — they can hold any of the four main roles (Super Administrator, Training Administrator, Manager, or Individual) with Trainer access as an add-on. Most external trainers are set as Individuals, since they don't need the extra admin pages.
