Learn how to allow specific Customers to be invoiced instead of paying upfront

Do you need to let certain customers pay by Invoice instead of up front? This guide shows you how to set that up for approved customers so an Invoice is generated at the time of booking and ready for payment to be processed later.

This page will take you through the steps to provide the ‘Invoice’ payment method to specific customers.

Please Note

This process is only available to Users with Super Administrator platform access.


Update the exclusivity for Invoices

Follow these steps to change which Users can select ‘Invoice’ when they are completing a booking

  1. Open the ‘Administration’ menu from the Profile options at the top-right of your platform

  2. This will open the Administration menu

  3. Open the ‘Account Finance Options’ menu option to access the page where you can manage your Invoice and Payment settings

  4. This will open the Account Finance Options form. This page allows you to manage your Invoice and Payment settings

  5. Check that the ‘Active Account’ is the correct Training Provider

  6. Scroll down the page to the ‘Transaction Methods’ section

  7. Check the tick box next to the ‘Invoice’ option to ensure it is enabled

Please Note!

If ‘Invoice’ isn't available, please get in touch with a member of the accessplanit team to add this to your platform

 

  1. Click the ‘Exclusivity’ next to the Invoice Option

  2. This will open the ‘Exclusivity’ pop-up box

  3. Next to the ‘Accounts’ section, click the ‘Add Account’

  4. This will open another pop-up box with a list of all your Accounts. Select the Account(s) you wish to allow Invoice Exclusivity

  5. Click the ‘OK’ button to save your changes

  6. This will now list the Accounts under the Account section

Please Note!

Any one of the criteria above needs to be met; for example, if it is exclusive to ‘Account A' and 'Training Admins', then both Training Admins and people employed by 'Account A’ can use the payment method 'Invoice'

 

  1. Click the ‘Update Exclusivity’ button

  3. Scroll to the bottom of the page and click ‘Update’
