Learn how to share a Resource with another Training Provider so that it can be used on their Courses too!

By default, when a new Resource is created, it belongs to a single Training Provider and can only be used on their Courses. However, if you work in a setup where multiple Training Providers share Resources (like venues, trainers, or equipment) you can make those Resources available across Providers. This guide will show you how to share a Resource so it can be used by more than one team within your platform!

This page will walk you through the steps to make a Resource available to an additional Training Provider.

Share a Resource with another Training Provider

Follow the steps below to share one of your Resources with an additional Training Provider.

Open the Resources DataGrid by clicking on the ‘Manage’ option within the ‘Resources’ section of your main navigation menu on the left
This will open the Resources DataGrid

Find the Resource you would like to share by applying filters and/or searching the Resources DataGrid

Right-click on the Resource , this will show you the context menu options
Click on the ‘Manage Sharing’ context menu option

This will open the 'Resource Sharing' page for this Resource
Use the Accounts option to select which additional Training Providers are able to assign this Resource to their Courses

Click the ‘Save’ button at the top of the page once you have added the Accounts

Top tip!

To make this Resource available to all Training Providers in your platform, select the 'Head Account Group', this typically includes every account.

FAQs

Why doesn’t a shared Resource appear in the other Training Provider’s Resources DataGrid?

When you share a Resource with another Training Provider, it does not automatically appear in their Resources DataGrid.

Sharing a Resource only affects:

The list of Trainers/Venues you can pick from when scheduling or editing a Course Date, and
The Resource Calendar, where that Resource can be viewed and scheduled by the Training Provider it’s been shared with.

It does not:

Make the Resource visible in the other Training Provider’s Resources DataGrid, unless their users have the appropriate roles over the Resource’s owner Account.

In other words, sharing controls where a Resource can be used and scheduled, not whether it will show up as a “locally owned” Resource in the other Training Provider’s DataGrid.

Can this Resource be included in the Resource Calendar when the other Training Provider is selected?

Yes! When viewing the Resource Calendar, open the Advanced options using the ‘Advanced’ link at the top-right and check the box labelled ‘Include shared resources in selection list’
