Learn how to enable Credit Notes ‘payments’ for your customers so that any issued Credit Notes can be allocated to Invoices to balance off outstanding amounts. 

If you plan to issue Credit Notes to customers, for example following a bad experience, you will need to enable ‘Credit Note’ as a payment method to allow these Credit Notes to be allocated to Invoices. This guide will walk you through how to enable ‘Credit Notes’ as a billing option, allowing you to allocate these Credit Notes to your customers' Invoices! You can make this 'Credit Note' option available to all customers or restrict it to specific ones as needed.

Enable the ‘Credit Note’ payment method

The first step is to enable ‘Credit Note’ as a payment method for your Training Provider, please note, that this step is only available to Super Administrators

  1. Open the ‘Administration’ menu from the Profile options at the top-right of your platform

  2. Open the ‘Account Finance Options’ menu option to access the page where you can manage your Invoice and payment settings

  3. Make sure you have the right Training Provider selected at the top of the page within the ‘Active Account’ drop-down box

  4. Scroll down to the ‘Payment Methods’ section on the page

  5. Find the ‘Credit Note’ payment method and check the box to enable it

  6. If you would like ‘Credit Note' to be available to everyone, scroll down to the bottom of the page and click the ‘Update’ button to save your changes!
    If you would like 'Credit Note’ to only be available to specific customers, please move onto the next step before you save…


Set Credit Notes to only be available to specific customers

If you would like to restrict access to the ’Credit Note' payment option to only specific, authorised customers, please follow the below

  1. Click on the ‘Exclusivity’ link for the Credit Note payment method

  2. Use the ‘Account Groups’ and/or ‘Accounts’ options to specify which customers should be able to use the ‘Credit Note’ payment method

Please note

If no exclusivity is set, this means that there are no restrictions, and all Users can use this payment method

 

  1. You may also wish to include ‘Training Administrator’ and ‘Super Administrator’ if your Admins will need access to the ‘Credit Note’ method too!

  2. Click the ‘Update Exclusivity’ button at the bottom to close this window

  3. Click the ‘Update’ button at the bottom of the page to save all of your changes
