Rebooking a Delegate onto a Course they’ve been cancelled from, can be needed when the Delegate finds they are now able to attend the Course after all! As the Delegate is still registered onto the Course (with a ‘Cancelled' status), you won’t be able to add them to the Course again via the shopping basket, instead you’ll use the ‘Rebook’ tool. This guide will walk you through the steps to rebook the Delegate correctly, ensuring they’re fully reinstated on the Course and ready to go!

Rebook a cancelled Delegate

Follow these steps to rebook your Delegate back onto a Course they have already been cancelled on.

To rebook a cancelled Delegate, you can follow the steps below:

  1. From the Main Navigation Menu, select ‘SmartGrids’ and then select either ‘Class Delegates’ or 'Web Delegates' depending on which Course type the Delegate was booked on

  2. This will open the corresponding DataGrid

  3. Search for the cancelled Delegate using the search and/or filters

  4. Check the Delegate has the correct Account allocated to them for invoicing using the ‘Account Name’ column within the DataGrid

  5. If the Account isn't correct, use the 'Bulk Edit' to update the Account (optional)

  6. Right-click the Delegate and select 'Rebook' from the context menu

  7. This will open the ‘Rebook Delegate’ pop-up form

  8. Enter the ‘Cost’ for rebooking the Delegate

  9. Click the 'Rebook' button

  10. You will now see the status of the Delegate has changed to 'Booked' within the DataGrid

FAQ

My Delegate has been rebooked under an old Account - they have since changed Main Accounts - why is this happening?

When using the Rebooking Wizard, the platform will check whether the ‘Is Private Booking' checkbox is true or not - if this is false, it will use the original Booking Account against the Bookings record - even if the Delegate’s Main Account has since changed.

This means the Target of the new invoice will be the same as the original booking, however you can easily retarget this if needed.

I cannot see the 'Rebook' option within the context menu
