Learn how to capture information for new Customers in a Registration Form
When a new customer registers with you, it is important to collect key information about them to support their bookings. This usually includes their full name, company (Account) name, their Email Address, and a password for them to use when they return to make future bookings. Beyond the basics, the Checkout Registration Form is designed to be fully customisable, allowing you to gather additional information tailored to your Course needs. Whether you want to know their dietary requirements, gender, or preferred contact methods, the flexibility of the form ensures that you can capture every relevant detail right from the start.

Where to find the Customer Registration Form Builder
The following steps will show you where to find the Registration Form Builder
Open the ‘Administration’ menu from the Profile options at the top-right of your platform
Select ‘Checkout Options’ from the Administration menu
Open the ‘Training Provider Options’ option from the Checkout Options menu
Right-click on your Training Provider and select the option 'Registration Form' from the context menu
This will open the Registration Form builder page
Please Note Checkout Options, including the Registration Form Builder, are only available for Super Administrators. If you cannot access Checkout Options, please speak with your Super Administrator.
Plan your Registration Form
Below outlines the steps for planning what key information may be required within your Registration form for new Users
To plan your registration form, you will follow these steps:
Review available fields and decide which to include
Decide if you would like to group any fields
Decide if you would like to hide fields under certain circumstances
Review available fields and decide which to include
This step will show you what fields within the builder are available for you to choose from
On the left-hand side of the builder, you will see all available fields that can be added
First Name, Last Name, Email Address & Password are all mandatory fields that are required within the form
This is key information required to create a User profile within your accessplanit Platform
Custom Fields can be created to capture extra info about Users, and Accounts if needed and these will appear within the menu on the left-hand side
Decide if you would like to group any fields
This step will streamline your registration form, adding each field into a section so that it's easily readable
Review your selected field list, how would you like to group your information on the form e.g. have a ‘Personal details’ section, an ‘Additional Information’ section
The 'Rich Editor' option is great for dividing your Registration Form into sections
Decide if you would like to hide fields under certain circumstances
This step will explain what the hide and show checkbox can be used for
Review your selected field list, would you like any of them hidden until they are relevant? for example, do you want to hide a ‘Dietary Requirements’ text box field until the registering user checks a box that says they have dietary requirements or hide all Account fields until the registering user checks a box that says they want to register with their company information? You can use the Hide Show Checkbox option to do this
Build your Registration Form
Now that you have decided what fields and layout you want for your Form, the following steps will show you how to add fields, rich text and hide/show checkboxes
To build your registration form, you will follow these steps:
Add fields to your form
Decide if you would like to group any fields
Decide if you would like to hide fields under certain circumstances
Add fields to your form
This step will show you how to add fields to your Registration Form
To add a field to your Registration Form, simply click the ‘Add’ button next to the title of the field you wish to add
This will add the Field at the bottom of your form
To rename the field or change its optional/mandatory status, click the 'Edit Mode' icon
Rename the label as required
You may wish to make the field mandatory, you can do this by checking the ‘Make this mandatory?’ checkbox
Once you have made your changes, click ‘Apply’
Repeat steps 1-6 as required for all additional fields
Once you are happy with your Registration Form, click the ‘Save’ button in the top right corner to apply your changes!
Group your fields together using sections (optional)
This step will show you how to add ‘Rich Text’ into your form to separate the form into clear sections for your Users
Add the ‘Rich text' field option into the form by clicking the 'Add’ button
This will add the field to the form
Open the Edit Mode for the Rich Text by clicking on the pencil icon
Once in Edit Mode, add the title for your Field, e.g. ‘Personal Information’
You can use the Heading Section to make the text larger, add Colour or change the font as required
Once you are happy with the text, click ‘OK’
This will now show the text within the form builder
To reposition the field, drag and drop the field into the required place using the up/down arrow icon
Repeat steps 1-7 as required
Once you are happy with your form, press the ‘Save’ button in the top right corner
Set up hide/show checkboxes (optional)
This step will show you how to add the hide/show checkbox field to your form
Add the 'hide/show checkbox' field to your form
Relabel the field as required
Select whether you want to checkbox to show or hide when other fields are used
Select which fields should be show or hidden on your Registration Form when this checkbox is checked
Once you are happy with the field, click ‘Apply’
To reposition the field, drag and drop the field into the required place
Repeat steps 1-5 if required
Once you are happy with the form, press the ‘Save’ button in the top right corner to apply your changes
Top Tip While building or making changes to your Registration Form, we recommend opening a new tab with Checkout open and clicking the option to create a new Booker from the Booker Selection pop-up. Each time you save your changes to the form, refresh your other tab so that you can check over the changes in real-time.
Check your Registration Form at Checkout
The following steps show where to view the Registration Form within Checkout
This step will require you to ‘Log Out’ of the Platform and use a Booking Link to check the Form
From the Main Navigation Menu, go to ‘Courses’ and then ‘Class’
Within the DataGrid, find a Course that is due to take place in the future and is ‘Available’
Right-click and select ‘Booking Links’ from the context menu
From the Booking Links page, click the ‘copy booking link to clipboard’ link
This will save the link to your clipboard ready to paste
Go to ‘Profile’ in the top right corner and click ‘Log Out’
This will take you back to the login page for your Platform
Paste the Booking Link into the URL tab at the top of your page
This will open your Checkout Basket showing the Course within the Basket
Click the ‘Register now’ button, Please note that your registration button may be coloured or labelled slightly differently
This will open the Registration Form view for New Customers
From the Main Navigation Menu, go to ‘Courses’ and then ‘Class’
Within the DataGrid, find a Course that is due to take place in the future and is ‘Available’
Click to add this Course to your basket via the ‘Add to Basket’ context menu option
From your Checkout Basket view, click the ‘Select Booker’ button
From your Booker Selection pop-up window, click the ‘Create New’ button
This will display your Registration Form
