Steps to create a new Sessional Course Template

 


Learn how to add a Session to a multi-part Sessional Course Template.

As your Courses evolve, whether this is following Delegate feedback, Trainer feedback, or due to guidelines changing, you may need to adapt the structure of a Sessional Course. If you need to add an additional element to a multi-part Course, you can very easily update your Course Template’s existing Session Plan to incorporate this additional part.

Once you have added a Session to a Session Plan, all future courses you schedule using this Course Template will include this Session.

Add a new session to a Course Template's Session Plan

This step will take you through the steps to add a new Session to a Course Template's existing Sessions Plan

There are two parts to this process:

  1. If you do not yet have a Course Template make it

  2. Add a new Session to your Sessional Course Template

Optional: Create a new Course Template for the Session

If you do not already have an existing Course Template for this course part, create it.

  1. Open the Course Template DataGrid from your main menu on the left

  2. Click the ‘Add Course Template’ button at the top of your DataGrid

     

  3. This will open the new Course Template form

     

  4. Enter the key details about your Course, including the Label, select ‘Class’ or ‘Web’ as the Course Template Type
    Please note - the Course Template ID will automatically populate if you leave this blank

     

  5. Enter the typical duration, places, and cost of the course
    Please note that your settings here will be automatically inherited by the Courses you schedule using this Course Template, however you will be able to override them if any these Courses have a different cost, duration, or min/max places

     

  6. If you have them, attach your Document Templates and Surveys to your Course Template

    1. Sign in Form - available to Trainers, this typically contains just a list of Delegate names with a space for them to sign their name

    2. Register - available to Trainers, this typically contains more information about the Delegates for the Trainer(s) to reference

    3. Certificate - the Course Certificate that will be emailed to the Delegate when they complete the Course (this must be set up as a Workflow)

    4. Course Survey 1, 2 and 3 - the Surveys that can be emailed to the Delegate when they complete the Course (they must be set up as a Workflow)

    5. Pre Course Survey - the Survey that can be emailed to the Delegate ahead of their Course (this must be set up as a Workflow)

    6. Trainer Survey Form - the Survey that can be emailed to the Trainer (this must be set up as a Workflow)

       

  7. Check the ‘Advertise’ checkbox if you wish your Courses that use this Course Template to be available to book on your website

     

  8. To track compliance and expiry dates for your Delegates on this Course, select an Award type and enter a lifetime (if left blank the Award will never expire)

     

  9. Click the ‘Save’ button to create your Course Template

     



Add a new Session to a Course Template's Session Plan

  1. From the Main Navigation menu go to Course Templates

  2. Find the Course Template that you wish to update a Session for by applying filters and/or searching the Course Templates DataGrid

  3. Right Click on the Course Template and select ‘Edit’ from the context menu

  4. Select the 'Session Plan Items' option from the Course management menu

     

  5. This will open the ‘Session Plan Maintenance’ DataGrid

     

  6. Click the ‘Add Session Plan Item’ button

     

  7. This will open the ‘Add Session Plan’ pop up box

     

  8. Under the Course Template section, select which Course Template you wish to map the Session to, the Account selector will automatically be populated with an Account

     

  9. The next section is the ‘When’ section, This is where you select the offset, the duration and the start and end times of the Session

a. The Offset Unit and Type allows you to mark the time distance between the head course and the Session.

Usually, the first Session starts at the same time as the course, so its Offset Unit is 0 days/hours, or a Offset type of ‘None’

Remember, the Offset is always based on the course's start date, not the previous session. So, if a session is on the third day of the course, its offset is 2 (because it's two days after the course starts).

Here are some things to remember about using the day offset in a Session Plan:

  • When calculating total course length non working days are not counted

  • When calculating offset days in a session plan non working days ARE counted, such as weekends

  • When a sessional course is scheduled, if the session plan would result in a child session appearing on a non working day, the child session will be placed on the next available working day, so make sure the dates of your session plan fall in the correct place

b. The duration allows you to designate how long the session lasts such as 1 day - this will override the duration set at the Course Template

c. Add a Start and End time for your session,

  1. The section is the cost of the session. If you are using the Sessional Course cost option of  ‘Course Cost', you do not need to add any cost in here

     

  2. The final section is the ‘Options’ section

  • 'Is Mandatory’ checkbox defines whether the course session is mandatory for Delegates when they are booking the Parent course

  • ‘Clone Trainers’ and ‘Clone Venue’ checkboxes means that when a sessional Course Date is created with a Trainer and/or Venue attached in the ‘Resources’ tab, the child session Course Date created will also automatically have the Trainer and/or Venue attached to it - you don’t need to manually add the resources to the child sessions.

Please note

The already scheduled courses won’t be updated, only Courses that are created from now on.
