The Course Management area holds the instances of a course that use the infrastructure within the Course Template. There are four main types of Courses: Class, Web, E-Learning, and Knowledge Document. All courses can be viewed in a DataGrid or from the Course Calendar.

The Course Maintenance Page allows you to make changes to a Course Template's details and associated information such as Delegate and Resources Tasks

Setting up a Course 

Before you set up a Course , there are a few fields you'll need to fill in first. Here's an overview of what they all mean:

Training Provider
This is the Account responsible for running Courses with this Course Template. Make sure you select the right one, as you'll only be able to select from Course Templates that are stored under that Training Provider after selecting the Training Provider for a Course date.

Course Template 
Here, you can select the Course Template that you wish to base this Course on.

Overide Alias
If you want to the Course to display a name that differs from the Course Template Label, enter in an Alias here.

External ID
If your Course exists somewhere on another website or platform, you can enter in its unique ID here.

Administrators
If your Course has Administrators, you can add their User profiles in here.

Other information stored against a Course

Attributes
Within the Attributes tab, you can view information regarding the Course Template, such as its ID and Label. If you have Sage financial integration, you can enter your Sage Department, Nominal, and Tax codes in here.

Text
Within this page, you can add joining instructions, overviews, aims, and summary text to your Course Template. These can then be pulled through to your website, or into emails via merge fields.

Exclusivity 
This page can be used to assign Exclusivity to a Course for a particular Account or Account Group.

Delegates
The Delegates tab can be used to view and manage Delegates already booked onto the Course. You can also add Delegates manually through the DataGrid here.

Placeholders
Here, you can view, add, or delete Placeholder bookings.

Resources
This page allows you to view and  manage any Resources assigned to this Course.

Fees
Here, you can view and manage Fees associated with this Course. There is more information available on Fees here.

Bookings
In this tab, you can view any bookings that have been processed through the Shopping Basket. This Datagrid can be used to show how many bookings were processed, who by, and whether the booking was processed by the User themselves, or done on their behalf by an Administrator or Account Manager.

Profitability
The Profitability tab allows you to view the income and expenditures of this Course.

Notes and File Store
In these tabs, you can view, add, or delete Notes or Files stored against this Course.

Communications
In the Communications page, you can view and manage Communications relating to this Course.

Tasks and Meetings
Here, you can view and manage Tasks and Meetings associated with the Course.

Price Schemes
In the Price Schemes tab, you can view any assoicated Price Schemes for the Course.

Display Links
You can use this page to view the links associated to the course, such as the Booking Link, as well as being able to promote your courses via LinkedIn, Facebook and Twitter.

Display links can be bundled so multiple courses can be booked together, by using the Course Date IDs and a pipe delimiter symbol.

For example:

https://customername.accessplanit.com/accessplan/clientinput/course/coursebooker.aspx?coursedateid=1234|5678

This would add both Course Date ID: 1234 and ID: 5678 to your basket at the same time.


Audit Logs
You can view the Audit Logs for the course from this page

Inheritance from Course Templates:

Nearly all settings defined on a Course Template are inherited when you schedule a Course date. This includes the cost of the Course, the duration, and the min/max places available.

You can override all of this information too, so if a scheduled course has a different cost to the Course Template you can change it for this date only.

There are some exceptions to this, however:

Course Label
You cannot change the course label, although you can provide a course alias override which is where you provide a different name to the course. This will then appear in the Course Calendar & Courses DataGrid. It can also be included in Document Templates and Workflows as an alternative to the course label.

Course Text
There are several text fields such as Aims, Objectives and Summary.

These are defined at a Course Template level only.

Course Awards
You are able to associate each course to Awarded Awards (what the User achieves by attending), and Required Awards (what the User needs to achieve before they take this course). This can only be done at a Course Template level.

Document Templates & Surveys
Each Course Template can be assigned three Document Templates, and three Surveys. This cannot be overridden for Course dates.

Categories
Categories are assigned to Course Templates. Additional or alternative Categories cannot be assigned to Course dates.
